Turn the questions you keep answering into saved replies
Every Monday, WebRun opens Chatra, reads last week's chats to find the questions agents typed by hand more than once, checks them against your existing saved replies, logs the counts in Google Sheets, and posts a Teams list of draft saved replies for the support lead to approve.

How do I turn repeated support questions into saved replies?
WebRun finds your saved reply gaps every Monday. It reads last week's Chatra chats, groups the questions agents answered by hand more than once, logs the counts in Google Sheets, and posts draft saved replies to Microsoft Teams for the support lead to approve before anything goes live.
- Agents stop retyping the same answer every week
- Every proposed saved reply arrives with the chat count behind it
- Nothing goes into Chatra until the support lead approves the wording

1
Chatra - find repeated questions in chats
WebRun opens Chatra to find repeated questions in chats. - Open Chatra and load the chat history for the last seven days
- Group visitor questions by topic and count how often each one came up
- Read the answer agents typed each time, including any chat notes left on the conversation
- Compare each topic against the saved replies already in your Chatra account
- Never save or publish a reply. WebRun only reads chats and prepares drafts
Done when Last week's repeated questions are counted and checked against existing saved replies.
-
2
Google Sheets - log question counts and gaps
WebRun opens Google Sheets to log question counts and gaps. - Open your support knowledge sheet in Google Sheets and add this week's tab rows
- Record each question topic, how many chats it appeared in, and which agents handled it
- Mark whether a saved reply already exists, needs an update, or is missing entirely
- Keep a running count per topic so a question that grows week on week is visible
Done when Every repeated topic has a row with its weekly count and saved reply status.
-
3
Microsoft Teams - post drafts for approval
WebRun opens Microsoft Teams to post drafts for approval. - Post this week's list to your support channel in Teams, most repeated question first
- Include a draft saved reply for each gap, written in the voice your agents already use
- Mark each draft clearly as unpublished and awaiting the support lead's approval
- Link the Google Sheets row so anyone can see the underlying chat counts
Done when The support lead has this week's draft saved replies in Teams, ready to approve.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it add saved replies to Chatra by itself?
No. WebRun writes the draft wording and posts it to Teams for approval. Creating or editing a saved reply in Chatra stays a human action, so nothing your agents send is changed without a person signing off.
How does it decide a question is worth a saved reply?
By how many separate chats asked it in the week and whether a saved reply already covers it. Topics that came up repeatedly with no matching saved reply sit at the top of the Teams list.
Does it read private customer details?
It reads chat text to group questions by topic and writes only the topic, the count, and a generic draft answer into Google Sheets and Teams. Visitor contact details are not copied into the log.
