Automated Box Sign Reminder Tracking
Every morning, WebRun opens Box, lists the signature requests still unsigned, works out which signer is holding each one up, tracks the ages in Airtable, and files a drafted reminder per signer in Notion so one polite nudge replaces a hunt through folders.
How do I chase Box Sign requests that nobody has signed?
WebRun checks your Box Sign requests every morning and lists the ones still unsigned, naming the signer holding each up. It tracks days outstanding in Airtable and files a drafted reminder per signer in Notion, so stuck agreements get one polite nudge instead of a hunt through folders.
- Stuck agreements surface the morning they stall
- Each signer gets one grouped reminder, not five
- Every request carries a live days-outstanding count

1
Box - list unsigned requests
WebRun opens Box to list unsigned requests. - Open Box and list every signature request that is not complete
- Capture the document name, the folder it lives in, and the date it was sent
- Note which signers have signed and which have not yet opened the request
- Skip requests that were cancelled, declined, or already finished
Done when Every in-flight signature request is listed with its outstanding signer.
-
2
Airtable - track request ages
WebRun opens Airtable to track request ages. - Add or update a row per request with the document, signer, sent date, and days outstanding
- Record the request status: not opened, opened, or partly signed
- Count how many reminders have already gone out for that request
- Close the row once Box shows the request completed
Done when The Airtable tracker matches the live state of every request in Box.
-
3
Notion - file the drafted reminders
WebRun opens Notion to file the drafted reminders. - Write today's chase list to your operations page, oldest request first
- Group the lines by signer so one person is chased once, not per document
- Draft a short polite reminder under each signer, naming the documents and what they are for
- Leave every reminder unsent. You approve the wording and send it yourself
Done when The chase list and its drafted reminders are waiting in Notion.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it send reminders to signers on its own?
No. Reminders are drafted in Notion and left unsent. WebRun never emails a signer, resends a request, or cancels one. You approve the wording and send it yourself.
How does it know who is holding a document up?
It reads the per-signer status on each Box Sign request, so a request waiting on the second of three signers names that person rather than the whole group.
Will the same person be chased about five documents separately?
No. The chase list groups by signer, so someone holding up five agreements gets one drafted reminder naming all five.
