A corrective action closes when somebody proves it

Raising a finding is quick. Closing one is a month of asking people for evidence.

An audit finds a guard missing from a machine. The action goes to maintenance. Six weeks later somebody has to establish whether it was fitted, and the proof is a photograph on a phone, a work order in a maintenance system that is not this one, or a supervisor's word.

The pattern repeats everywhere. A permit renewal is pending with a state agency, so somebody logs into the agency's portal to see whether it was granted. A forklift ticket expires, so somebody emails the training provider for the roster. A contractor's insurance is due to renew, so somebody checks whether the policy behind the certificate on file still holds.

None of it is difficult. All of it is somebody, every week, logging into an organisation that is not yours, to find out whether the thing you are relying on is still true.

Almost all of it acts on what your own people put in, or on content the platform's own library carries.

That is the ceiling, and it is a fair one. The system will tell you an action is overdue. It cannot see whether the guard was fitted, whether the state agency granted the permit, whether the twelve people booked onto refresher training passed, or whether the contractor's policy renewed. Each answer is on a website belonging to somebody else, and it is the answer that decides whether you are compliant.

Every open action can arrive with its evidence attached

An EHS manager can start the week with the evidence already gathered rather than the chase still to do.

Every pending permit checked on the state or provincial agency's portal, so a renewal sitting in a queue for eleven weeks gets escalated while there is still runway. All of that is gathering, and gathering can run overnight with nobody present. Anything that changes a compliance record, closes an action, or tells a contractor they may come on site is prepared and waits for the EHS manager. An audit trail written unsupervised is not an audit trail worth having.
