How to Automate OTR Solutions
OTR Solutions automates everything that happens after an invoice is submitted: same-day funding, instant transfers through BOLT, broker credit checks and payment tracking in the client portal. Finding the missing proof of delivery, the load nobody invoiced and the detention recorded only in a broker's portal is still hand work.
A carrier's money moves at the speed of its paperwork
OTR Solutions is a freight factoring company. A carrier delivers a load, invoices the broker, and would normally wait thirty or sixty days to be paid. Factoring closes that gap: OTR buys the invoice, pays the carrier now, and collects from the broker itself.
The customers are owner-operators, small fleets and the freight brokers on the other side of the same transaction. For a one-truck business this is not a financial product. It is the entire back office. Payroll, the diesel in the tank next Tuesday and the truck payment all depend on how fast an invoice turns into money.
OTR sells more than the advance. True Non-Recourse Factoring means the carrier is protected if the broker never pays, and the collections are OTR's to chase. The OTR Fuel Card buys diesel at a discount. OTR Clutch is a business banking app with digital cards on it. All of it is bundled as the OTR365 ecosystem, for a simple reason: a driver has no office and no bookkeeper.
Every load leaves a paper trail somebody has to assemble
An invoice does not get funded because the truck arrived. It gets funded because three documents matched.
The rate confirmation comes from the broker, usually by email, sometimes only in a portal. The proof of delivery comes off a clipboard in a truck stop parking lot, photographed by a driver who may or may not have got the whole signature in frame. Lumper receipts and scale tickets arrive the same way. Somebody puts them together, checks that the load number on the delivery receipt is the load number on the rate confirmation, and submits them.
Then it stops being one load and becomes forty. Which invoices went in, which funded, which came back short. Which brokers still owe. Whether the detention on Tuesday's load was billed at all, because those four hours are recorded in the broker's portal and nowhere else.
For a fleet of six that is a person's job. For an owner-operator it is Sunday.
Instant funding starts the moment the invoice is submitted
Everything after submission is genuinely quick, and it is worth being clear about how quick.
Invoices go in through the OTR Client Portal or the mobile app: upload the rate confirmation and the proof of delivery and the submission is done. Approved invoices fund the same day, and BOLT, the instant option, moves money straight to a debit card in seconds, with no bank cutoff to miss. Broker credit checks run in the same app, so a carrier can look up who is behind a load before booking it.
That is a great deal of the job removed. What none of it does is go and find the paperwork.
The rate confirmation is in an inbox. The delivery receipt is on a phone. The detention hours are in the broker's own portal, behind the broker's own login. A load that got dispatched and never invoiced shows up only when somebody compares the dispatch board with what was actually submitted. OTR starts when the documents arrive, and documents do not arrive on their own.
The paperwork can be chased before the money is late
The stretch between delivering and being paid stops being somebody's evening. It takes one run across the broker's site, the inbox and the portal.
Unsubmitted invoices found every morning: loads marked delivered with no delivery receipt attached, sorted by broker and by how many days old, with the driver holding the photograph named next to each. A message drafted to that driver, ready for a dispatcher to read and send.
Detention, layover and lumper charges read off each broker's portal and set against what was actually billed, so four hours at a receiver becomes a line on an invoice instead of a write-off. Funded amounts matched back to the rate on the confirmation, so a short payment is a question this week rather than a discovery in the spring.
Broker credit checked on the loads already booked, not only on the ones being considered, so a customer whose score moved is a phone call before the next load is covered. Operating authority, the MC number and the insurance certificate watched on the federal record, because a lapse there stops the factoring and the trucks on the same day.
The back office can run overnight for a fleet of three
None of that needs a decision. It needs somebody to open six accounts and read them, which is precisely the work that gets skipped while the phone is ringing.
WebRun is an AI agent that works a real Chrome browser, signed in as you. It opens the OTR portal, the broker's site, the dispatch software and the inbox, reads what each one says, and brings back what is missing, what came back short and what nobody billed.
Money is where it stops. It does not submit an invoice for funding, request an advance or accept an offer. Funding is a decision with a fee attached, and decisions wait for a person. Gathering the documents and naming the gaps runs on its own.
The workflows below are already built, and each one names what it opens.
Questions people ask
Will it request funding or accept an advance on its own?
No. Submitting an invoice for funding and accepting an advance are decisions with a fee attached, so both stay with you. What runs unattended is the gathering: which loads are missing documents, which came back short, and which brokers still owe.
Can it read a broker's portal we already have a login for?
Yes, and that is usually the point of running it. It signs into the broker's site the way your dispatcher does, reads the detention hours or the load status off the screen, and brings the figure back next to what was actually invoiced.
Does this need an integration with OTR or our dispatch software?
No. It works the browser signed in as you, so it reaches the OTR portal, the dispatch board and the broker sites with nothing connected first. Most broker portals have nothing to integrate with in any case.
