The retention schedule already knows which cartons are eligible. It is the next step that never happens.

Could it authorise a destruction run by itself?

No, and it is built not to. It finds the cartons that are eligible, names the client contact who can sign, and drafts the request. Approving destruction stays with the client and with the person at the center who countersigns it.

Our clients each pay through a different portal. Is that workable?

Yes, that is the case it exists for. It opens each payables system the way your billing clerk would, finds where the invoice actually sits, and reports which accounts have nothing entered at all. A one-off portal with no integration is fine.

Does this replace the QuickBooks import or the web API?

No. Where an integration exists for a job, use it, because it is cheaper and steadier. This is for the systems that publish no interface at all, which describes most of what a records center has to sign into every week.
