Automated Ada Knowledge Gap Reports

Every Monday, WebRun opens Ada, reviews the past week of conversations for the questions the bot handled badly or missed, logs each recurring topic in Airtable with its volume, and drafts a proposed answer in Notion so a human can approve it before it reaches customers.

In short

How do I find the questions my support chatbot cannot answer?

WebRun reviews your Ada conversations every Monday and finds the questions the bot could not answer. It groups them into topics, logs each one in Airtable with its weekly volume, and drafts a replacement answer in Notion, so your team gets a ranked content backlog instead of guessing what to write.

  • The highest-volume unanswered question is on a writer's desk every Monday
  • Bot coverage improves from real customer phrasing, not guesswork
  • Every proposed answer is reviewed by a human before customers see it

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens ada.cx in a real browser with your saved login - no setup, no API keys.

  2. 1
Ada - find the questions it misses
    ada.cx
WebRun in Ada: find the questions it misses
WebRun opens Ada to find the questions it misses.
    • Open Ada and review the last seven days of conversations
    • Collect the questions where the bot gave no match or the customer rephrased and left
    • Group near-identical questions into one topic
    • Count how many conversations each topic covers and note the trend against last week

Done when Every recurring unanswered topic from the week is grouped and counted.

  3. 2
Airtable - log each gap with volume
    airtable.com
WebRun in Airtable: log each gap with volume
WebRun opens Airtable to log each gap with volume.
    • Open your content gap base in Airtable
    • Add a row per topic with the example question, the conversation count, and the week
    • Update the count on topics that already exist instead of adding a duplicate
    • Sort the view so the highest-volume gaps sit at the top

Done when Airtable holds one ranked row per topic with this week's volume.

  4. 3
Notion - draft the replacement answer
    notion.so
WebRun in Notion: draft the replacement answer
WebRun opens Notion to draft the replacement answer.
    • Create a Notion page for each of the top gaps of the week
    • Write a proposed answer in your existing help-center voice
    • Paste in the real customer phrasings so the writer sees the language used
    • Mark the page as a draft awaiting review. Never publish it to Ada or to customers

Done when Each top gap has a draft answer in Notion waiting for a human to approve.

Questions, answered

Will it change what my Ada bot says to customers?

No. WebRun writes proposed answers into Notion as drafts only. Nothing is published to Ada or shown to a customer until someone on your team reviews and publishes it themselves.

How does it decide a question was missed?

It looks for conversations where the bot returned no confident match or the customer rephrased and then abandoned the chat, then groups the near-identical questions into one counted topic.

Does it re-add topics we already logged?

No. WebRun checks Airtable first and updates the volume on an existing topic row rather than creating a second one, so the backlog stays clean week after week.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
