Automated Zoho Sign Document Archiving
Every night, WebRun opens Zoho Sign, finds the documents that reached completed status that day, downloads each one with its completion certificate, files it in the right folder by document type, records the signers and signed date in Google Sheets, and drafts a Gmail note when a document has no obvious home.
How do I automatically file completed Zoho Sign documents?
Every night WebRun opens Zoho Sign, finds the documents completed that day, and files each one with its completion certificate in the right folder by type. It records the signers, signed date, and filing location in Google Sheets, so anyone can find a signed contract and its audit trail from one place.
- Every signed document is filed the night it completes
- The completion certificate is kept alongside the document
- One sheet answers where any signed contract lives

Gmail - draft a query on anything unfiled

Questions, answered
Will it delete or void anything in Zoho Sign?
No. WebRun only reads documents that already reached completed status and copies them with their certificates. Nothing is voided, deleted, or moved out of Zoho Sign, and the query email is left as a Gmail draft.
Does it keep the completion certificate?
Yes. The certificate is filed alongside the signed document every time, because a signed contract without its audit trail is much harder to rely on later.
What happens to a document it cannot classify?
It is filed in a review folder and named in a drafted Gmail note asking where it belongs, so an unusual document never gets guessed into the wrong place or quietly skipped.
