Automated Zoho Forms Weekly Entry Export
Every Monday, WebRun opens Zoho Forms, pulls last week's entries from each form you own, checks every field for anything left incomplete, writes the results into Airtable as one table per form, and drafts a Gmail summary to each department owner that stays unsent until you approve it.
How do I export form entries to a spreadsheet every week?
Every Monday WebRun opens Zoho Forms, pulls last week's entries from each form you own, and checks every field for anything left incomplete. It writes the entries into Airtable as one table per form and drafts a Gmail message to each department owner for you to send.
- Reporting stops depending on anyone opening the forms tool
- Incomplete submissions are flagged the Monday after they land
- Each owner receives only the forms they are responsible for
Built for operations teams · department managers · office administrators · membership organisations
What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens
forms.zoho.comin a real browser with your saved login - no setup, no API keys. -
1
Zoho Forms - pull last week's entries
WebRun opens Zoho Forms to pull last week's entries. - Open Zoho Forms and go through each form on your list
- Collect every entry submitted in the last seven days with all of its fields and its submission date
- Count the entries that are missing a required field or look incomplete
- Read only. Never edit an entry, change a form or delete a submission
Done when Last week's entries are collected form by form with the incomplete ones counted.
-
2
Airtable - build a table per form
WebRun opens Airtable to build a table per form. - Write one table per form with a column for every field and a row for every entry
- Stamp each row with its submission date and the week it belongs to
- Flag the incomplete rows so the owning team can chase the gaps
- Append to the existing table rather than replacing it, so previous weeks stay intact
Done when Each form has last week's entries in Airtable with incomplete rows flagged.
-
3
Gmail - draft each team's summary
WebRun opens Gmail to draft each team's summary. - Draft one message per department owner covering only the forms they own
- Lead with the entry count, the number incomplete, and the link to their Airtable table
- Note how the week compares with the one before so a fall in submissions is visible
- Leave every message unsent in Drafts for you to review before it goes out
Done when A drafted summary is waiting for each department owner, none of them sent.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it email the summaries without me?
No. Every summary is left unsent in your Gmail drafts. You read each one and send it, so nothing reaches a department owner or a respondent on its own.
Does it change or delete entries?
No. WebRun reads the submissions and copies them into Airtable. It never edits an entry, alters a form or removes a submission from Zoho Forms.
What happens to previous weeks?
They stay. Each run appends the new week to the existing Airtable table with a week stamp, so the history builds up instead of being overwritten.
