Automated YouCanBookMe Open Slot Alerts

Every Monday, WebRun opens YouCanBookMe, reads the availability and confirmed bookings on each booking page for the week ahead, works out how many time slots are still empty, logs the gaps day by day in Airtable, and drafts a Gmail promotion you can approve and send.

In short

How do I see how much of next week is still unbooked?

Every Monday WebRun opens YouCanBookMe, reads each booking page's availability for the week ahead, and works out how many slots are still empty. It logs the gaps by day in Airtable and drafts a Gmail promotion for you to approve, so a quiet week gets filled instead of just happening.

  • You learn about a quiet week on Monday, with days left to fix it
  • Fill rate is tracked week over week in one Airtable base
  • The promotion is written and waiting, so filling gaps takes one click

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens youcanbook.me in a real browser with your saved login - no setup, no API keys.

  2. 1
YouCanBookMe - count next week's open slots
    youcanbook.me
WebRun in YouCanBookMe: count next week's open slots
WebRun opens YouCanBookMe to count next week's open slots.
    • Open YouCanBookMe and select each booking page you run
    • Read the availability for the week ahead and the bookings already confirmed against it
    • Count the remaining open time slots for each day and each booking page
    • Note the days with the largest gaps and any day that is fully booked

Done when Every booking page has a count of open slots for each day of next week.

  3. 2
Airtable - log the gaps by day
    airtable.com
WebRun in Airtable: log the gaps by day
WebRun opens Airtable to log the gaps by day.
    • Add a row per day with the booking page, slots offered, slots booked, and slots still open
    • Show the fill rate for the week next to the same week last month
    • Sort the emptiest days to the top so the problem days are obvious

Done when Airtable holds next week's fill rate with the emptiest days at the top.

  4. 3
Gmail - draft the promotion for approval
    gmail.com
WebRun in Gmail: draft the promotion for approval
WebRun opens Gmail to draft the promotion for approval.
    • Compose a short promotion naming the days and times still open next week
    • Include your booking page link so a reader can pick a slot directly
    • Leave the message in Drafts. WebRun never emails your list on its own

Done when A promotion naming next week's open slots is waiting in Gmail drafts.

Good to know

Questions, answered

Will it email my customers without asking?

No. The promotion is written and left in your Gmail drafts. You read it, adjust the offer, and press send yourself, so nothing reaches your list unreviewed.

Does it change my availability?

No. WebRun reads your booking pages and counts what is open. Adding hours, blocking time, or editing a booking page stays with you.

What if next week is already full?

You still get the Airtable row showing a full week, and no promotion is drafted. WebRun only writes the email when there are gaps worth filling.

Put this on autopilot.
