Automated WeTransfer Client Delivery Log

Every Monday, WebRun signs in to WeTransfer, reads the transfers you sent in the past week, captures the recipient, the file names, the send date, the expiry date, and whether the link was downloaded, appends each one to a Google Sheets delivery log, and updates the matching client page in Notion.

In short

How do I keep a record of files I sent each client?

WebRun opens WeTransfer every Monday and reads the transfers you sent in the past week, capturing the recipient, the file names, the send date, the expiry, and whether the link was downloaded. It appends each one to a Google Sheets delivery log and updates the client page in Notion.

  • Every delivery has a dated line item instead of an email to find
  • The question of whether final files were sent takes seconds to answer
  • Transfers that expired unopened are flagged while a resend still helps

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens wetransfer.com in a real browser with your saved login - no setup, no API keys.

  2. 1
WeTransfer - read last week's sends
    wetransfer.com
WebRun in WeTransfer: read last week's sends
WebRun opens WeTransfer to read last week's sends.
    • Sign in to WeTransfer and open the list of transfers you sent in the past seven days
    • Capture the recipient address, the file names, and the total size for each transfer
    • Note the send date, the expiry date, and whether the link has been downloaded yet
    • Leave every transfer in place. WebRun reads the history and never deletes or resends a link

Done when Every transfer sent last week is captured with its recipient and dates.

  3. 2
Google Sheets - append the delivery log
    google.com
WebRun in Google Sheets: append the delivery log
WebRun opens Google Sheets to append the delivery log.
    • Open the delivery log sheet in Google Sheets
    • Append one row per transfer with the client, recipient, file names, send date, expiry date, and download status
    • Match the recipient to the client name you already use so the log stays searchable by account
    • Skip any transfer already logged, so a re-run never doubles a line

Done when Last week's transfers are appended to the delivery log with no duplicates.

  4. 3
Notion - update the client page
    notion.so
WebRun in Notion: update the client page
WebRun opens Notion to update the client page.
    • Open the client page in Notion for each account that received files
    • Add the week's deliveries as dated line items under the delivery history
    • Flag any transfer that expired without ever being downloaded, so it can be resent while the work is fresh

Done when Every client page shows what was delivered last week.

Questions, answered

Will it resend or delete any transfer?

No. WebRun reads your sent transfer history and writes to your own sheet and Notion pages. It never resends a link, never emails a recipient, and never deletes a transfer from WeTransfer.

How does it match a transfer to the right client?

It matches the recipient address against the client names you already keep in the log, so files sent to several people at one company still land on the same client record.

What about a transfer that expired unopened?

It is flagged on the client page in Notion with its send and expiry dates, so you can resend while the work is still fresh instead of finding out weeks later.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
