In short

How do I clear pending time off requests before posting the schedule?

Every Monday, WebRun opens UKG, lists every time off request still waiting on a manager, and checks the shifts each one would leave uncovered next week. It updates the approval tracker in Airtable and posts the queue to Notion, so the schedule is posted right the first time.

  • Every pending request is decided before the schedule is posted
  • Managers see the uncovered shifts next to each request
  • Nobody chases an approval decision by text message

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens ukg.com in a real browser with your saved login - no setup, no API keys.

  2. 1
UKG - find pending time off requests
    ukg.com
WebRun in UKG: find pending time off requests
WebRun opens UKG to find pending time off requests.
    • Open UKG and filter time off requests to those still awaiting approval
    • Capture the employee, the dates requested, the type of leave and how long it has been waiting
    • Check the employee's accrual balance covers the days requested
    • Look at next week's posted schedule and note which shifts each request would leave uncovered

Done when Every pending request has its dates, balance check and affected shifts recorded.

  3. 2
Airtable - track each request and its cover
    airtable.com
WebRun in Airtable: track each request and its cover
WebRun opens Airtable to track each request and its cover.
    • Update the tracker with every open request, its age in days and the manager it is waiting on
    • Record the shifts affected and whether anyone with the right skill is free to cover
    • Close out rows for requests that were decided since the last run

Done when The tracker matches the live queue in UKG.

  4. 3
Notion - post the decision queue
    notion.so
WebRun in Notion: post the decision queue
WebRun opens Notion to post the decision queue.
    • Post the decision queue with the requests closest to their start date first
    • Show the employee, dates, accrual balance, uncovered shifts and who could cover
    • Leave every approval to the manager. WebRun never approves, denies, or cancels a request

Done when Managers have one page listing every decision owed before the schedule posts.

Good to know

Questions, answered

Will it approve or deny requests?

No. WebRun never approves, denies, or cancels a time off request, and it never edits a schedule. It assembles the queue with the facts a manager needs, and the manager decides in UKG.

Does it message the employee?

No. Nothing goes to the employee. The queue is posted to your internal Notion page and Airtable tracker only, so people hear the decision from their manager.

How does it know a shift would be uncovered?

It reads next week's posted schedule in UKG, matches the requested dates against the shifts that employee is rostered for, and notes who else holds the same skill and is free.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
