Automated Engagement Letter Tracking
Every morning, WebRun opens TaxDome to find clients who have not yet signed their engagement letter, prepares a DocuSign envelope draft for each unsigned client, and posts a Slack report so the preparer can approve and send each envelope before any signature request goes out.
How do I track and send engagement letters automatically for tax clients?
WebRun checks TaxDome every morning for clients without a signed engagement letter, prepares a DocuSign draft envelope for each one, and posts a Slack alert so the preparer can review and send the requests. No signature request is delivered to a client without the preparer's go-ahead.
- Every unsigned engagement letter is flagged and a draft envelope is ready each morning
- Preparers review one Slack digest instead of hunting through TaxDome manually
- No client work starts before the engagement letter is signed

Questions, answered
Will it send a DocuSign request to clients without my approval?
No. WebRun prepares the DocuSign envelope and leaves it in draft status. The preparer reviews the Slack list and manually sends each envelope from the DocuSign queue. Nothing is sent automatically.
How does it choose the right engagement letter template?
It reads the client's service type from TaxDome and matches it to the corresponding template in DocuSign. You set up the template mapping once during onboarding.
What if a client signed the letter outside of DocuSign?
If the signed letter is uploaded or marked as complete in TaxDome, WebRun skips that client automatically on the next run, so you won't see duplicate requests.
