Automated Tattoo Touch-Up Reminders
Every Monday, WebRun opens Square Appointments, finds clients whose tattoo session was completed 6 to 10 weeks ago and who have not yet booked a touch-up, drafts a friendly reminder text via Twilio for each one, and posts the batch to Slack for approval before any message is sent.
How do I automatically remind tattoo clients to book their free touch-up?
WebRun opens Square Appointments every Monday, finds clients whose tattoo was completed 6 to 10 weeks ago and who have not yet booked a touch-up, then drafts a personalised reminder text via Twilio for each one. The batch is posted to Slack for staff approval before any message reaches a client.
- Every eligible client is prompted to book their touch-up before the window closes
- Draft reminder texts are reviewed in Slack before reaching any client
- Clients who have already booked a touch-up are automatically skipped

Questions, answered
Will it text clients without a team member approving first?
No. All touch-up reminder texts are drafted in Twilio and held unsent. The full batch is posted to Slack for a staff member to review and approve before any message is delivered to a client.
What if a client already booked a touch-up through a different channel?
WebRun checks Square Appointments for any touch-up booking made since the original session date. If a booking is found, that client is automatically excluded from the reminder batch for that week.
Can I adjust the touch-up window to match the studio's policy?
Yes. The default window is 6 to 10 weeks after the original session, but you can set any range to match your studio's complimentary touch-up policy when you configure the workflow.
