Automated Sync.com Member Access Setup
Every morning, WebRun signs in to Sync.com, reads the team member list and the shared folders each person can reach, compares it against the access your role map says they should have, records the gaps in Airtable, and posts a short setup list per new starter to Notion.
How do I make sure new team members get the right shared folder access?
WebRun sets up new teammate access every morning. It signs in to Sync.com, reads each member and the shared folders they can reach, compares that against the role map in Airtable, and posts a per-starter setup list to Notion, so nobody spends their first week asking for access.
- New starters have their folders on day one instead of week two
- Every missing permission is named with the folder and access level
- Invites that were never accepted get chased within a week
Built for office managers · IT admins · operations teams · small businesses
What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens
sync.comin a real browser with your saved login - no setup, no API keys. -
1
Sync.com - read members and folder access
WebRun opens Sync.com to read members and folder access. - Sign in to Sync.com and open the team administration area
- Capture every team member with their status and the date they were added
- For each member, note the shared folders they have access to and the permission level on each
- List invites that were sent but never accepted
- Never change a permission or send an invite. WebRun only reads the current state
Done when Every team member is captured with their shared folders, permission levels, and invite status.
-
2
Airtable - log the access gaps
WebRun opens Airtable to log the access gaps. - Open your onboarding base in Airtable and match each member to their role
- Compare the folders they can reach against the folders their role should have
- Add a row per missing folder with the member, the folder, and the permission level needed
- Close rows where access has since been granted, so the base only shows live gaps
Done when Every missing folder is a row in Airtable with the member and permission needed.
-
3
Notion - post the setup list per starter
WebRun opens Notion to post the setup list per starter. - Post a setup list to your onboarding page in Notion, one block per new starter
- List the exact folders to share and the permission to give on each
- Put anyone who started in the last three days at the top
- Add a separate line for invites still unaccepted after a week
Done when Each new starter has a checkable folder setup list waiting in Notion.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it grant folder access on its own?
No. WebRun reads the current members and permissions in Sync.com and reports what is missing. Sharing a folder or sending an invite stays a click an admin makes after reading the list.
How does it know what access a new starter needs?
From the role map you keep in Airtable. Each role lists the folders and permission levels that go with it, and WebRun compares that against what the person can actually reach today.
What about people who changed roles?
Anyone whose role in Airtable no longer matches their folders shows up the same way as a new starter, so a move between teams surfaces the folders to add and the ones worth reviewing.
