Automated StyleSeat Client Rebooking Reminders

Every Monday, WebRun opens StyleSeat, checks each client's visit history to work out their usual gap between appointments, flags anyone who has gone noticeably longer than that without rebooking, alerts the stylist in Microsoft Teams with the client's name and last visit, and blocks a short outreach slot on Google Calendar so the follow-up actually happens.

In short

How do I know which StyleSeat clients are overdue for a rebooking?

Every Monday, WebRun compares each client's StyleSeat visit history to their own usual rebooking interval, flags anyone overdue, alerts the stylist in Microsoft Teams with their last visit date, and blocks outreach time on Google Calendar for the week. Overdue clients get a personal follow-up before they drift to another stylist, instead of the gap going unnoticed.

  • Overdue clients are flagged weekly based on their own booking pattern
  • Outreach time is already on the calendar, not left to memory
  • The most overdue clients are surfaced first each week

Questions, answered

Does WebRun message the client directly?

No. It only alerts the stylist internally and blocks their calendar time. Reaching out to the client is done by the stylist themselves.

How is a client's usual rebooking interval worked out?

It looks at the gap between that client's own past appointments in StyleSeat, so the overdue flag is based on their real pattern, not a generic industry average.

What if a client just prefers longer gaps?

Since the interval is calculated from their own history, clients who naturally book less often are only flagged once they exceed their own usual gap, not a fixed number.

Put this on autopilot.
