Automated SendGrid Suppression Reviews

Every Monday, WebRun opens SendGrid, reads the suppression lists covering bounces, blocks, invalid addresses, and spam reports, counts what was added in the last week and which receiving domains they cluster around, opens a Trello card for each pattern that needs a fix, and sends you a WhatsApp summary of how much of your list is now unmailable.

In short

How do I keep track of bounces and blocked addresses on my email list?

WebRun reviews your SendGrid suppressions every Monday. It counts the bounces, blocks, invalid addresses, and spam reports added in the last week, groups them by receiving domain and reason, opens a Trello card for each pattern worth fixing, and sends your team a WhatsApp summary of the totals.

  • The unmailable share of your list is measured weekly
  • Deliverability problems are grouped by receiving domain, not guessed at
  • No address is unsuppressed without a person deciding

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.sendgrid.com in a real browser with your saved login - no setup, no API keys.

  2. 1
SendGrid - review bounces, blocks, and spam reports
    sendgrid.com
WebRun in SendGrid: review bounces, blocks, and spam reports
WebRun opens SendGrid to review bounces, blocks, and spam reports.
    • Sign in and open the suppressions area
    • Count what was added in the last 7 days across bounces, blocks, invalid addresses, and spam reports
    • Group the additions by receiving domain and by the reason given
    • Note any single domain or reason that accounts for an unusual share of the week's additions

Done when Last week's suppression additions are counted and grouped by domain and reason.

  3. 2
Trello - open a card per pattern to fix
    trello.com
WebRun in Trello: open a card per pattern to fix
WebRun opens Trello to open a card per pattern to fix.
    • Open the email operations board
    • Create a card for each pattern worth acting on, for example one receiving domain blocking heavily or a rise in spam reports
    • Put the counts, the reason text, and the affected domain on the card
    • Leave every suppression in place. Removing an address is a sending decision and stays with a person

Done when Every pattern from this week has a card with its counts.

  4. 3
WhatsApp - send you the weekly summary
    whatsapp.com
WebRun in WhatsApp: send you the weekly summary
WebRun opens WhatsApp to send you the weekly summary.
    • Send the summary to your internal marketing group
    • Show additions this week by type, the change on the previous week, and the running total of suppressed addresses
    • Name the receiving domains behind the biggest share
    • Keep it internal. WebRun never sends a campaign or emails a contact

Done when The group has this week's suppression summary.

Questions, answered

Will it remove addresses from my suppression lists?

No. WebRun never deletes a suppression, unblocks an address, or changes a setting in SendGrid. Mailing a suppressed address can damage your sending reputation, so a person makes that call.

Does it send any email?

No. It never sends a campaign, a test, or a single message. This workflow only reads your suppression data and reports on it in Trello and WhatsApp.

Why group suppressions by receiving domain?

Because a cluster from one receiving domain usually means an authentication or reputation problem with that provider rather than a bad list, and the fix is completely different.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
