Automated Samsara Vehicle Defect Handoff
Every morning, WebRun opens Samsara, reads the inspection reports drivers submitted since the last run, pulls out every logged defect with its vehicle and driver, posts maintenance a work list in Slack, texts the supervisor via Twilio about defects that should take a vehicle off the road, and tracks each one until it is cleared.
How do I get driver-reported vehicle defects to maintenance the same day?
WebRun opens Samsara every morning, reads the defects drivers logged on their inspection reports, and checks each vehicle's maintenance status. It posts maintenance a work list in Slack grouped by vehicle and texts the supervisor via Twilio about safety critical defects, so a reported fault reaches the shop the same day.
- Defects logged overnight reach maintenance by 6:30 AM
- Safety critical faults reach the supervisor by text, not just a channel
- Unresolved defects carry forward with a days-open count instead of vanishing
Built for fleet managers · maintenance supervisors · trucking companies · field service fleets

1
Samsara - read inspection defects
WebRun opens Samsara to read inspection defects. - Open Samsara and go to the inspection reports submitted since the last run
- Pull out every defect a driver logged, with the vehicle, the driver and the defect note
- Check the current maintenance status of each vehicle so defects already in the shop are not re-raised
- Carry forward defects reported on earlier days that are still unresolved
- Mark defects that read as safety critical against the categories you define
Done when Every open defect is listed with its vehicle, driver, note and current maintenance status.
-
2
Slack - hand maintenance the work list
WebRun opens Slack to hand maintenance the work list. - Post the maintenance channel a work list grouped by vehicle
- Show the defect, the driver who reported it, the date and how many days it has been open
- Put safety critical defects at the top, then defects carried over from previous days
- Close the post with a count of defects cleared since the last run so progress is visible
Done when Maintenance has today's defect work list in Slack, grouped by vehicle.
-
3
Twilio - text on a grounding defect
WebRun opens Twilio to text on a grounding defect. - Text the maintenance supervisor when a defect falls into your safety critical categories
- Name the vehicle, the defect and the driver who reported it in the text
- Send the text to the supervisor's own number only. WebRun never texts a driver or a customer
- Send nothing on a morning where no critical defect was logged
Done when The supervisor has been texted about every safety critical defect.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it mark a defect as resolved or take a vehicle out of service?
No. WebRun reads inspection reports and reports what it finds. It never closes a defect, never changes a vehicle's status and never dispatches a driver. Those stay decisions for your maintenance team.
Does it message drivers?
No. The Slack work list goes to your internal maintenance channel and the Twilio text goes to the supervisor's own number. Drivers and customers are never contacted.
What happens to a defect nobody fixed yesterday?
It is carried forward onto today's list with a count of days open, so an unresolved defect climbs the list rather than disappearing with yesterday's inspection.
