Automated Sage VAT Deadline Countdown

Every Monday, WebRun opens Sage, reads the open VAT period and the days left until its filing deadline, finds the transactions still unreconciled or missing a VAT rate inside that period, raises a Trello card per fix, and posts the countdown with the outstanding count to Slack.

In short

How do I get the VAT return ready before the filing deadline?

WebRun reads your open VAT period in Sage every Monday, counting the days to the filing deadline and listing the transactions still unreconciled or missing a VAT rate. It raises a Trello card per fix and posts the countdown to Slack, so the return is filed from clean books instead of a scramble.

  • The return is filed from clean books, not a late scramble
  • Every unsorted transaction has a dated card before the deadline
  • Finance sees the countdown and the progress every Monday

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.sbc.sage.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Sage - read the open VAT period
    sage.com
WebRun in Sage: read the open VAT period
WebRun opens Sage to read the open VAT period.
    • Open Sage and find the VAT period currently open, with its start date, end date, and filing deadline
    • Count the days remaining until the deadline
    • List the transactions inside the period that are still unreconciled
    • List transactions that carry no VAT rate or a rate that looks out of place for the supplier
    • Note the running VAT figure the period would produce if it were filed as it stands
    • Read only. WebRun never submits a VAT return or files anything with a tax authority

Done when The open period, its deadline, its days remaining, and every unsorted transaction inside it are captured.

  3. 2
Trello - raise a card per fix
    trello.com
WebRun in Trello: raise a card per fix
WebRun opens Trello to raise a card per fix.
    • Open your bookkeeping board in Trello and create a card per transaction that needs attention
    • Put the date, the supplier or customer, the amount, and what is wrong on each card
    • Split the cards into unreconciled items and items missing a VAT rate
    • Set each card's due date ahead of the filing deadline so the work lands with room to spare

Done when Trello holds a card per transaction to fix, each dated ahead of the filing deadline.

  4. 3
    Slack - post the countdown
    slack.com
WebRun in Slack: post the countdown
WebRun opens Slack to post the countdown.
    • Post the countdown to your finance channel in Slack: days to the deadline and items still outstanding
    • Show how the outstanding count moved since last Monday, so progress is visible
    • Raise the alarm level in the message once the deadline is inside two weeks
    • Leave the filing itself to your bookkeeper or accountant

Done when The finance channel has this week's countdown and the outstanding count.

Good to know

Questions, answered

Will it submit the VAT return?

No. WebRun reads the open period in Sage and reports what is still unsorted. Filing the return stays with your bookkeeper or accountant, so no submission ever leaves without a person sending it.

Does it change any transactions?

No. It reads them and raises a Trello card describing what needs fixing. Reconciling an item or setting a VAT rate is done by a person in Sage.

How does it know the filing deadline?

It reads the open VAT period in Sage and the deadline shown against it, then counts the days remaining each Monday, so the countdown always reflects the live period.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
