Automated Rosetta Stone Learner Onboarding

Every Monday, WebRun signs in to your Rosetta Stone program, lists learners added in the last week and anyone still at zero lessons, creates a Trello onboarding card per learner with the setup checklist, and updates each person's status in your Airtable roster.

In short

How do I make sure every new learner actually starts their course?

WebRun signs in to your Rosetta Stone program every Monday, lists learners added in the last week plus anyone still at zero lessons, and opens a Trello onboarding card for each with the setup checklist. It then updates your Airtable roster so enrollment date, course, and start status stay current.

  • Every new enrollment gets an owned onboarding card within a week
  • Learners stuck at zero lessons are found before the license is wasted
  • The roster shows live start status instead of last month's snapshot

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.rosettastone.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Rosetta Stone - find learners not yet started
    rosettastone.com
WebRun in Rosetta Stone: find learners not yet started
WebRun opens Rosetta Stone to find learners not yet started.
    • Sign in to your Rosetta Stone program and open the learner list
    • Capture everyone added in the last 7 days with their language and level
    • Add anyone enrolled earlier who still shows zero completed lessons
    • Note the assigned course and the enrollment date for each
    • Skip learners who have already completed their first lesson

Done when Every new or not-yet-started learner is listed with their course and enrollment date.

  3. 2
Trello - open an onboarding card each
    trello.com
WebRun in Trello: open an onboarding card each
WebRun opens Trello to open an onboarding card each.
    • Open your onboarding board and check for an existing card per learner
    • Create a card for anyone without one, titled with the learner and their language
    • Add the checklist: confirm access, set a weekly study target, book the first check-in
    • Put the enrollment date on the card as its due date
    • Move cards to Started once the learner has a completed lesson

Done when Every learner needing onboarding has one card, and no duplicates were created.

  4. 3
Airtable - update the roster status
    airtable.com
WebRun in Airtable: update the roster status
WebRun opens Airtable to update the roster status.
    • Open your learner roster base and match each person by name or email
    • Set the status field to Enrolled, Not Started, or Started from the live program data
    • Record days since enrollment for anyone still at zero lessons
    • Add a weekly count of new enrollments and stalled starters at the top of the view

Done when The Airtable roster reflects the live status of every learner.

Questions, answered

Will it email learners directly?

No. WebRun creates internal Trello cards and updates your Airtable roster. It never emails or messages a learner. The first contact is made by your program coordinator.

Can it enroll or remove people in Rosetta Stone?

No. WebRun reads the learner list and progress only. Enrollments, license assignments, and removals stay entirely with your administrators.

What stops duplicate cards each week?

WebRun checks the Trello board for an existing card before creating one, and moves cards to Started once the learner completes a lesson, so a name never gets two cards.

Put this on autopilot.
