Automated Restroworks Payout Reconciliation

Every morning, WebRun opens Restroworks, totals the payout each delivery aggregator owes after commission and discounts, matches it against the deposit that actually landed in Xero, and posts finance a Microsoft Teams list of every mismatch so nothing gets written off by accident.

In short

How do I catch delivery aggregator payout shortfalls automatically?

Every morning, WebRun opens Restroworks, totals what each delivery aggregator owes after commission for yesterday's orders, and matches that expected payout against the deposit that actually landed in Xero. Any shortfall gets posted to finance in Microsoft Teams with the outlet, the aggregator, and how long it has been open.

  • Every aggregator shortfall is flagged the morning after settlement, not at month end
  • Finance sees the exact gap per outlet, not a lump chain-wide total
  • Old unmatched shortfalls stay visible instead of quietly aging off the books

Questions, answered

Does it dispute the shortfall with the aggregator for me?

No. WebRun only matches Restroworks payout data against Xero deposits and reports the gap. Raising a dispute with the aggregator or writing off a small difference is a decision finance makes.

How far back does it check?

It checks orders settled the previous day against deposits in Xero, and keeps carrying forward any shortfall still unmatched, so an old mismatch stays visible instead of aging out of view.

Does it work across multiple aggregators at once?

Yes. It totals expected payouts separately for each aggregator Restroworks tracks, then matches each one against its own deposits in Xero, so the report never mixes one aggregator's shortfall into another's.
