Automated Remote.com Expense Approval Chasing
Every morning, WebRun opens Remote.com, lists the expense claims submitted but not yet approved, works out which ones will miss this month's reimbursement run, posts the queue to Slack grouped by approver, and leaves a Gmail draft nudging each manager who is holding a claim.
How do I chase expense claims waiting on manager approval?
WebRun opens Remote.com every morning, lists the expense claims still waiting on approval, and works out which ones will miss this month's payroll cut off. It posts the queue to Slack grouped by approver and drafts a Gmail nudge to each manager, left unsent for you to review and send.
- Claims at risk of missing payroll surface days before the cut off
- Every approver sees only the claims they personally hold
- Employees stop waiting a whole cycle on a forgotten click
Built for people ops leads · HR managers · finance teams · distributed companies
What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens
remote.comin a real browser with your saved login - no setup, no API keys. -
1
Remote.com - find claims waiting on approval
WebRun opens Remote.com to find claims waiting on approval. - Open Remote.com and filter expense claims to those submitted and still awaiting approval
- Capture the employee, the amount, the submission date, and the approver for each claim
- Work out how many days each claim has been sitting and which approver owns it
- Compare each claim against this month's payroll cut off date and mark the ones at risk of slipping a cycle
Done when Every unapproved claim is listed with its age, its approver, and whether it will miss the cut off.
-
2
Slack - post the queue by approver
WebRun opens Slack to post the queue by approver. - Post the people ops channel this morning's approval queue grouped by approver
- Put the claims at risk of missing the cut off at the top, with the employee and amount
- Show the total value sitting unapproved and the oldest claim in the queue
- Skip the post entirely on a morning when nothing is waiting
Done when People ops can see who is holding which claim and what is at risk.
-
3
Gmail - draft a nudge to each manager
WebRun opens Gmail to draft a nudge to each manager. - Compose one short Gmail message per approver listing only their outstanding claims
- Name the employee, amount, days waiting, and the cut off date they are up against
- Leave every message as a draft. WebRun does not send them, so you read each one and send it yourself
Done when A Gmail draft is waiting for every approver who is holding up a claim.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it email managers without me seeing it?
No. Every nudge is left as a Gmail draft for you to read and send. WebRun never emails a manager or an employee on its own, so nothing goes out in your name unreviewed.
Can it approve or reject a claim itself?
No. WebRun only reads the claim list in Remote.com and reports what is waiting. Approving, rejecting, or editing a claim stays with the manager who owns it.
What happens when nothing is waiting?
It stays silent. On a morning with an empty queue there is no Slack post and no draft, so the alert keeps its meaning when something really is stuck.
Put this on autopilot.
Turn it on in minutes - or have our team set it up for you.
