Automated Qwilr Accepted Proposal Handoff

Every few minutes, WebRun opens Qwilr, looks for pages a client has just accepted, reads the quote block for the agreed scope and price, saves the accepted page as a PDF into that client's Google Drive folder, and opens a Trello kickoff card for the delivery team.

In short

How do I hand an accepted Qwilr proposal to my delivery team automatically?

WebRun checks Qwilr every few minutes for proposals a client just accepted, reads the quote block for the scope and price, saves the accepted page as a PDF into that client's Google Drive folder, and opens a Trello kickoff card, so delivery starts the same day the deal is signed.

  • Kickoff starts the day a proposal is accepted, not the next standup
  • Every signed proposal is filed in the client folder automatically
  • Delivery reads the agreed scope from the quote block, not from memory

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.qwilr.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Qwilr - spot newly accepted proposals
    qwilr.com
WebRun in Qwilr: spot newly accepted proposals
WebRun opens Qwilr to spot newly accepted proposals.
    • Open Qwilr and filter your pages to the accepted status
    • Pick up anything accepted since the last run and skip what has already been handed off
    • Read the quote block for the line items, the total, and any options the client chose
    • Capture the client name, the accept date, and the name on the accept block, then leave the page itself unchanged

Done when Every newly accepted proposal has its client, scope, and total captured.

  3. 2
Google Drive - file the signed page
    drive.google.com
WebRun in Google Drive: file the signed page
WebRun opens Google Drive to file the signed page.
    • Save the accepted page as a PDF into your Google Drive proposals folder
    • Create the client subfolder if it does not exist yet, named after the client
    • Name the file with the client, the accept date, and the total so it sorts cleanly
    • Leave any earlier version of the proposal in place rather than replacing it

Done when The signed proposal PDF sits in the client's Google Drive folder.

  4. 3
Trello - open the kickoff card
    trello.com
WebRun in Trello: open the kickoff card
WebRun opens Trello to open the kickoff card.
    • Open a Trello card on your delivery board for each accepted proposal
    • Put the client and the total in the title and the agreed line items in the description
    • Link the Google Drive PDF and the original Qwilr page on the card
    • Draft a short kickoff note to the client in a comment and leave it for a human to send

Done when Each won deal has a Trello kickoff card with the scope, the total, and the signed PDF linked.

Questions, answered

Will it email the client when they accept?

No. WebRun writes a kickoff note into the Trello card as a draft and stops there. A person reads it and sends it, so the client never hears from WebRun directly.

Does it change my Qwilr proposal?

No. WebRun reads the accepted page and the quote block and leaves the page exactly as the client signed it, so the record of the deal stays untouched.

What if the same proposal is accepted twice?

It checks for an existing Trello card and a matching PDF before creating anything, so a re-accepted or re-opened page never produces a duplicate kickoff.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
