Automated Qualtrics Response Rate Tracking

Every Monday, WebRun opens Qualtrics, reads the response count and completion rate of every live survey, drafts a polite reminder email in Gmail for the projects tracking below their target, and posts Slack a short table of where each survey stands and how many days are left to collect.

In short

How do I keep track of Qualtrics survey response rates each week?

WebRun checks every live Qualtrics survey each Monday, reading the response count, completion rate, and days left to collect. It drafts a Gmail reminder for each project tracking below target and leaves it unsent for approval, then posts Slack a short table so the team sees which surveys need a push this week.

  • Under-filling surveys are caught while there is still time to collect
  • Reminder emails are written and waiting, never sent without approval
  • One Slack table replaces a manual sweep of every project dashboard

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens login.qualtrics.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Qualtrics - read response rates
    qualtrics.com
WebRun in Qualtrics: read response rates
WebRun opens Qualtrics to read response rates.
    • Open Qualtrics and list every project that is currently collecting responses
    • For each survey, capture the responses recorded, the completion rate, and the close date
    • Compare each count against the target you set for that project
    • Mark surveys tracking below target and note how many days are left to collect

Done when Every live survey has a response count, a completion rate, and an on-track or behind flag.

  3. 2
Gmail - draft reminders for approval
    gmail.com
WebRun in Gmail: draft reminders for approval
WebRun opens Gmail to draft reminders for approval.
    • For each survey tracking below target, write a short reminder email to the distribution owner
    • Include the current count, the target, and the days remaining in the body
    • Save every message as a Gmail draft and send nothing
    • Leave the drafts grouped so you can review and send them in one pass

Done when An unsent Gmail draft exists for every survey behind target.

  4. 3
Slack - post the weekly picture
    slack.com
WebRun in Slack: post the weekly picture
WebRun opens Slack to post the weekly picture.
    • Post a short table to your research channel: survey, responses, completion rate, days left
    • Sort the behind-target surveys to the top and mark them clearly
    • Name which reminder drafts are waiting in Gmail for approval
    • Keep the post to one message so the channel stays readable

Done when The team has this week's survey response table in Slack.

Questions, answered

Will it email survey respondents?

No. Reminder emails are addressed to your own distribution owners and are only ever saved as Gmail drafts. WebRun never contacts a respondent and never sends a distribution from Qualtrics.

Can it change or relaunch a survey?

No. WebRun reads project dashboards in Qualtrics only. It never edits questions, changes a close date, activates a survey, or exports respondent data.

What counts as behind target?

Any live survey whose response count is tracking below the target you set for it, measured against the days remaining before the close date you entered in Qualtrics.

Put this on autopilot.
