Twice a day, WebRun opens your Podium inbox, finds every conversation and missed call that has gone unanswered past your response window, drafts a short reply in the thread but leaves it unsent, creates a Trello card per customer waiting, and files a dated follow-up log in Google Drive.

In short

How do I make sure no Podium message goes unanswered?

WebRun opens your Podium inbox twice a day and finds every conversation and missed call left unanswered past your response window. It drafts a reply in each thread without sending it, creates a Trello card per waiting customer with the wait time, and files a response-time log in Google Drive.

  • No customer message sits unanswered past your response window
  • The front desk opens Trello to a longest-wait-first call list
  • Response times are logged so the trend is visible month to month

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.podium.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Podium - find unanswered conversations
    podium.com
WebRun in Podium: find unanswered conversations
WebRun opens Podium to find unanswered conversations.
    • Open the Podium inbox and sort conversations by last activity
    • List every thread where the customer spoke last and nobody replied inside your response window
    • Add missed calls with no follow-up text alongside them
    • Draft a short, on-brand reply in each thread and leave it unsent for a person to send

Done when Every waiting customer is listed and has a drafted reply ready for approval.

  3. 2
Trello - card each customer waiting
    trello.com
WebRun in Trello: card each customer waiting
WebRun opens Trello to card each customer waiting.
    • Create a Trello card for each waiting customer on your front-desk board
    • Title it with the customer name and how long they have waited
    • Add the last message, the channel it came in on, and the phone number in the description
    • Move the longest waits to the top of the list and skip anyone already carded today

Done when Every waiting customer has one Trello card, longest wait first.

  4. 3
Google Drive - file the response log
    drive.google.com
WebRun in Google Drive: file the response log
WebRun opens Google Drive to file the response log.
    • Open your response-time folder in Google Drive and append today's run to the running log
    • Record how many conversations were waiting, the longest wait, and the average
    • Keep one row per run so the trend over weeks is readable
    • Name the file by month so it stays easy to find

Done when Today's response-time record is saved in Google Drive.

Questions, answered

Will it text customers on its own?

No. WebRun writes the reply into the Podium thread and leaves it unsent. A person reads it and presses send, so no customer ever receives a message that a human has not approved.

How does it decide a conversation is unanswered?

It reads who spoke last in each Podium thread and how long ago. Anything where the customer spoke last and the wait is past your response window, for example two hours, goes on the list.

Will the same customer get carded twice?

No. WebRun checks the Trello board before creating a card and skips anyone already on it today, so the front desk sees one card per waiting customer.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
