Automated PDFfiller Form Intake
Whenever a fillable form is completed in PDFfiller, WebRun opens the document, reads the field values off it, creates an Airtable row with the answers and a link back to the file, and adds the submission to a Notion intake log so the next person sees a tidy record instead of a PDF.
How do I turn completed PDF forms into structured records automatically?
WebRun turns completed PDFfiller forms into workable records. As each fillable form comes back, it reads the field values off the document, creates an Airtable row with the answers and a link to the file, and adds the submission to a Notion intake log, so your team reads one tidy record per person.
- Every completed form becomes a structured row within minutes
- Nobody opens a PDF to copy the same five fields again
- Blank required fields are flagged the day they arrive
Built for operations teams · clinics · insurance brokers · HR and onboarding teams · law firms

1
PDFfiller - read the completed form
WebRun opens PDFfiller to read the completed form. - Open PDFfiller and find documents completed since the last run
- Open each completed document and read the filled field values
- Note the template it came from, the folder it landed in, and the completion time
- Skip anything already filed on a previous run
Done when Every new completed form has its field values captured.
-
2
Airtable - file the answers as a row
WebRun opens Airtable to file the answers as a row. - Open the intake base in Airtable
- Create one row per submission with the answers mapped into their columns
- Add the document name, the template, and a link back to the file in PDFfiller
- Flag rows where a required field came back blank
Done when Each submission has one Airtable row with its answers and a link to the source document.
-
3
Notion - log the submission for intake
WebRun opens Notion to log the submission for intake. - Open the intake log page in Notion
- Add today's submissions with who filled them in, the form used, and the time received
- Put any submission with missing required fields at the top for a person to chase
- Leave the record for your team to work. Never reply to the submitter directly
Done when Today's submissions are logged in Notion with incomplete ones flagged first.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it reply to the person who filled in the form?
No. WebRun only files the answers into Airtable and Notion for your team. Any reply to the submitter stays a human decision, and nothing is sent from your account.
What happens when a required field is left blank?
The row is still created and then flagged, and the submission is pushed to the top of the Notion log so someone can chase the missing answer the same day.
Does it work across different form templates?
Yes. WebRun reads the field labels on each completed document and maps them to your Airtable columns, so several PDFfiller templates can feed the same intake base.
Put this on autopilot.
Turn it on in minutes - or have our team set it up for you.
