Automated DrChrono Pain Management Care Gap Report

Every Monday, WebRun opens DrChrono, reviews the active patient panel for those overdue for a required touchpoint such as a lab review, a medication check visit, or a post-procedure follow-up, and logs a tiered care gap report to Google Sheets so the clinical team can close every open gap this week.

In short

How do I automatically find pain management patients with open care gaps in DrChrono?

WebRun audits the DrChrono active patient panel every Monday and identifies patients overdue for a lab review, medication management visit, or post-procedure follow-up. It logs a tiered care gap report to Google Sheets sorted by urgency, giving the clinical team a clear weekly action list before any patient falls through the cracks.

  • Every open care gap is surfaced to the clinical team each Monday
  • Most at-risk patients sort to the top by days overdue
  • Gaps closed by recent visits clear automatically from live DrChrono data

Questions, answered

Will it reach out to patients about their care gap?

No. WebRun surfaces the gaps internally in Google Sheets for the clinical team to action. Any patient outreach is drafted separately for staff review and approval before sending, protecting PHI.

What types of care gaps does it track?

By default: lab reviews overdue by more than 90 days, medication management visits overdue by more than 30 days, and post-procedure follow-ups overdue by more than 14 days. All thresholds are configurable.

What if a patient was seen and the gap was closed after the last run?

WebRun reads live chart data in DrChrono each Monday, so any gap closed by a recent visit or documented review is cleared from the report automatically.
