In short

How do I track which business phone services are coming out of contract?

Every Monday WebRun signs in to your Optus business account, reads each service, its plan, and its contract end date, and finds the ones expiring in the next 90 days. It posts the list to Slack and gives the office manager a Teams summary of which lines can be repriced or cancelled.

  • Contracts are reviewed 90 days out, not after they roll over
  • Services already out of contract are listed separately every week
  • No plan is changed or cancelled without a person deciding

Built for office managers · IT administrators · finance teams · Australian small businesses

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.optus.com.au in a real browser with your saved login - no setup, no API keys.

  2. 1
Optus - read plans and contract end dates
    • Sign in to your Optus business account and list every service on it
    • For each service, capture the mobile number or service identifier, the plan name, and the contract end date
    • Read the current monthly charge shown on the latest invoice for that service
    • Keep the services whose contract ends within the next 90 days, plus any already out of contract

Done when Every service is listed with its plan, its contract end date, and its current charge.

  3. 2
Slack - post the expiring services
    slack.com
WebRun in Slack: post the expiring services
WebRun opens Slack to post the expiring services.
    • Post the expiring services to your operations channel, soonest end date first
    • Show the plan, the monthly charge, and the days until the contract ends
    • List separately any service already running out of contract at the old rate

Done when The operations channel holds this week's expiring service list.

  4. 3
Microsoft Teams - brief the office manager
    microsoft.com
WebRun in Microsoft Teams: brief the office manager
WebRun opens Microsoft Teams to brief the office manager.
    • Send the office manager a short Teams summary of what needs a decision this month
    • Group the services into keep, reprice, and cancel candidates based on the charge and the end date
    • Leave every commercial decision to a person. WebRun never changes a plan, cancels a service, or contacts Optus

Done when The office manager has a decision list in Microsoft Teams.

Questions, answered

Will it cancel or change a plan?

No. WebRun reads your services and reports what is expiring. Cancelling a service, changing a plan, or negotiating a new rate all stay with the person who owns the account.

How far ahead does it look?

90 days by default, so there is time to renegotiate before a contract lapses. Set your own window and WebRun applies it every Monday.

Does it cover services already out of contract?

Yes. Those are listed separately, because a service quietly rolling on at the old rate is usually the most expensive thing on the account.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
