Automated Ooma Missed Call Follow-Up

Every morning, WebRun opens Ooma Office, pulls yesterday's missed calls and new voicemails, drops any number that already called back or was returned, queues a short apology text in Twilio for you to approve, and emails you the ranked follow-up list.

In short

How do I follow up on missed business phone calls automatically?

WebRun opens Ooma Office every morning and pulls yesterday's missed calls and voicemails. It drops anyone already called back, queues a short apology text in Twilio for you to approve, and emails you a ranked follow-up list, so no missed caller is left waiting for a response.

  • Every unreturned missed call gets a callback text the next morning
  • Callers who left a voicemail rank at the top of the list
  • You can see which extensions miss the most calls

Built for small business owners · clinics and practices · trades and service firms · front desk teams

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens office.ooma.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Ooma - pull missed calls and voicemails
    ooma.com
WebRun in Ooma: pull missed calls and voicemails
WebRun opens Ooma to pull missed calls and voicemails.
    • Sign in to Ooma Office and open the call log for yesterday
    • Capture every inbound call that went unanswered, with the number, the extension dialled, and the time
    • Check voicemail and note which missed calls left a message, then drop any caller who was already called back

Done when Yesterday's genuinely unreturned missed calls are listed with times and voicemail status.

  3. 2
Twilio - queue a text back for approval
    twilio.com
WebRun in Twilio: queue a text back for approval
WebRun opens Twilio to queue a text back for approval.
    • Draft a short text for each missed caller apologising for the miss and offering a callback time
    • Skip internal extensions, known spam numbers, and anyone on your do-not-text list
    • Queue every message in Twilio for your approval. WebRun never texts a caller on its own

Done when A callback text is queued and awaiting approval for each missed caller.

  4. 3
Gmail - email you the follow-up list
    gmail.com
WebRun in Gmail: email you the follow-up list
WebRun opens Gmail to email you the follow-up list.
    • Email yourself the ranked follow-up list with number, time, extension, and voicemail status
    • Put callers who left a voicemail and callers who tried more than once at the top
    • Note which extensions missed the most calls so you can see where cover is thin

Done when Today's missed call follow-up list is in your inbox.

Good to know

Questions, answered

Will it text callers without my approval?

No. Every callback text sits queued in Twilio until you approve it. WebRun writes the wording and matches it to the right number, and a human presses send.

How does it avoid texting people we already called back?

It reads the full Ooma call log, not just the missed entries, so any number your team already returned is dropped before a text is drafted.

Does it listen to my voicemails?

It notes which missed calls left a voicemail so those callers rank first, and it does not transcribe or forward the recordings anywhere outside Ooma.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
