Automated Nextiva Unanswered Text Sweeps

Every hour, WebRun opens Nextiva, reads the text conversations on your business numbers, finds inbound messages with no reply from anyone on the team, drafts a catch-up email for the longest waits, and posts the waiting list to Microsoft Teams.

In short

How do I make sure no customer text message goes unanswered?

WebRun checks your Nextiva text conversations every hour and finds inbound messages nobody has replied to. It records the contact, the number, and how long each has waited, posts the waiting list to Microsoft Teams, and drafts a Gmail escalation for the longest waits, so texting gets the same attention as the phone.

  • Every customer text has a known wait time within the hour
  • Texts stop being the channel nobody watches
  • Long waits reach a named lead before the customer gives up

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens nextiva.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Nextiva - find texts with no reply
    nextiva.com
WebRun in Nextiva: find texts with no reply
WebRun opens Nextiva to find texts with no reply.
    • Open Nextiva and go to the text conversations on your business numbers
    • List every thread whose last message came from the customer
    • Capture the contact, the business number, the message text, and the time it arrived
    • Work out how long each has waited and skip anything already answered by a teammate

Done when Every inbound text with no reply is listed with its wait time.

  3. 2
Microsoft Teams - post the waiting list
    microsoft.com
WebRun in Microsoft Teams: post the waiting list
WebRun opens Microsoft Teams to post the waiting list.
    • Post the waiting list to your front desk channel
    • Put the longest wait first with the contact name and the number it came in on
    • Include the first line of each message so the team can triage without opening Nextiva
    • Mark any thread waiting more than two hours as urgent

Done when The team has this hour's unanswered text list in Teams.

  4. 3
Gmail - draft the escalation note
    gmail.com
WebRun in Gmail: draft the escalation note
WebRun opens Gmail to draft the escalation note.
    • Draft an email to the sales or front desk lead when a text has waited beyond your threshold
    • List the contact, the wait time, and the message so the lead can assign it
    • Leave the email in drafts. WebRun never sends it and never texts the customer

Done when Long waits have a drafted escalation note ready in Gmail.

Questions, answered

Will it text the customer back on its own?

No. WebRun never sends a text message. It posts an internal list to Microsoft Teams and leaves any escalation email as a Gmail draft, so a person always writes the reply the customer sees.

How does it know a text was already handled?

It reads the live conversation each hour and only lists threads whose last message came from the customer. As soon as any teammate replies in Nextiva, that thread drops off the next run.

Does it cover every business number?

Yes. It sweeps the text conversations on all of your Nextiva business numbers, so a line the sales team rarely opens gets the same hourly check as the main number.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
