How do I automatically create win-back campaigns for lapsed museum members?
Every Monday, WebRun opens Blackbaud Altru, finds members who lapsed 60 to 90 days ago, segments them by membership tier, logs the cohort in Google Sheets, and builds segmented draft campaigns in Mailchimp for staff to review. No email is sent until your team approves and schedules each campaign manually.
- Lapsed members are identified and segmented automatically every week without manual list work
- Staff review polished, tier-specific win-back campaigns instead of building them from scratch
- The Google Sheet gives leadership a running view of the lapsed member pipeline
Built for museum membership managers · cultural attraction development staff · member retention teams · nonprofit membership coordinators

1
Blackbaud Altru - identify lapsed members by tier

- Capture each lapsed member's name, membership level, lapse date, and email address
- Group lapsed members by tier: individual, family, and patron
- Exclude any member who already received a win-back email in the past 90 days
Done when A segmented list of lapsed members with their contact details and tier is captured.
-
2

- Append a row for each lapsed member with their name, tier, lapse date, and contact email

-
3
Mailchimp - draft segmented win-back campaigns
WebRun opens Mailchimp to draft segmented win-back campaigns. - Open Mailchimp and navigate to Campaigns
- Create a draft campaign for each membership tier segment using the win-back template
- Personalise the subject line and body with the member's first name and membership level
- Include a renewal benefit highlight relevant to their tier
- Save each campaign as a draft only and do not schedule or send it without team approval
- Never trigger any Mailchimp campaign send without explicit staff review and sign-off
Done when A draft Mailchimp campaign per tier segment exists in draft status, with all member contacts loaded.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it send win-back emails to lapsed members without staff approval?
No. Every win-back campaign is saved as a Mailchimp draft only. Your team must review the content and audience, then manually schedule or send the campaign. WebRun never triggers a send on its own.
What if a lapsed member renewed before the campaign goes out?
WebRun logs who was in the cohort on the run date. Before your team sends the campaign, they should cross-check the Google Sheet against current Altru records to remove anyone who renewed in the interim.
How far back does it look for lapsed members?
By default it targets members who lapsed 60 to 90 days ago, which research shows is the highest-conversion window for win-back campaigns. You can adjust that range during setup.
