Automatic Microsoft Forms Response Chasing

Every morning, WebRun opens Microsoft Forms, reads the response list for each form you are tracking, compares it with your invite list in Google Sheets, marks who has still not answered, checks how many days are left before the deadline in Google Calendar, and drafts a reminder for each missing person.

In short

How do I find out who has not filled in my form yet?

Every morning, WebRun opens Microsoft Forms, reads the response list for each form you track, and compares it with your invite list in Google Sheets. It marks who is still missing, counts the days left against the deadline in Google Calendar, and drafts a reminder for each non-responder for you to send.

  • You know exactly who is missing every morning, not just how many
  • Reminders are written for you and wait for your approval before going out
  • Deadlines arrive with a complete set rather than a scramble on the last day

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens forms.office.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Microsoft Forms - read who has responded
    forms.office.com
WebRun in Microsoft Forms: read who has responded
WebRun opens Microsoft Forms to read who has responded.
    • Open Microsoft Forms and go to each form on your tracking list
    • Read the response count and the respondent names on the responses tab
    • Copy the form share link so the reminder can carry it
    • Note any form that has closed or reached its response limit

Done when Every tracked form has a current response count and a list of who has answered.

  3. 2
Google Sheets - mark the gaps and draft reminders
    google.com
WebRun in Google Sheets: mark the gaps and draft reminders
WebRun opens Google Sheets to mark the gaps and draft reminders.
    • Open the coverage sheet holding your invite list for each form
    • Tick off everyone whose name appears in the responses and leave the rest flagged as missing
    • Write the response count, the percentage covered, and the date last chased in the tracker row
    • Draft a short reminder message per missing person, with the form name and share link, in a Draft column. Leave every one of them unsent for you to review

Done when The sheet shows who is missing per form, with a drafted reminder waiting beside each name.

  4. 3
Google Calendar - count the days left
    calendar.google.com
WebRun in Google Calendar: count the days left
WebRun opens Google Calendar to count the days left.
    • Find the deadline event you keep for each form
    • Work out the days remaining and write it next to the form in the sheet
    • Flag any form whose deadline is inside 48 hours as urgent
    • Read the calendar only. Do not create or send invitations

Done when Each form shows a days-remaining figure and urgent ones are flagged.

Questions, answered

Will it message the people who have not responded?

No. WebRun writes each reminder into a Draft column in Google Sheets and leaves it unsent. You read the list, decide who genuinely needs a nudge, and send it yourself.

How does it know who was invited?

From the invite list you keep in the Google Sheet. WebRun matches the respondent names Microsoft Forms shows against that list and flags whoever is not on it.

What about anonymous forms?

For a form that collects responses anonymously, WebRun reports the response count against your expected total instead of named gaps, so you still see how far short you are.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
