Automated Marketo MQL Export and Reporting

Every morning, WebRun opens Marketo, pulls leads that crossed the MQL score threshold in the last 24 hours, logs each one to an Airtable base with its score and source program, and sends an internal summary email via Gmail to the sales-ops distribution list.

In short

How do I export new Marketo MQLs to my team every day?

WebRun checks Marketo every morning for leads that crossed the MQL score threshold in the last day, logs each one to Airtable with its score and source program, and emails an internal summary to your sales-ops distribution list, so newly qualified leads reach the team the same day they score, not at the next manual review.

  • New MQLs reach sales ops the same morning they score
  • Every MQL has a logged record with its source program
  • No lead sits unassigned because no one saw it score

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens login.marketo.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Marketo - find new MQLs
    • Open Marketo and filter leads scored as MQL in the last day
    • Capture each lead's score, source program, and company
    • Note anything already assigned to a rep

Done when Every lead that crossed MQL status today is listed.

  3. 2
    Airtable - log each lead
    airtable.com
WebRun in Airtable: log each lead
WebRun opens Airtable to log each lead.
    • Open the MQL tracking base in Airtable
    • Add a row for each new MQL with score and source program
    • Mark each row as unassigned unless Marketo shows an owner

Done when Every new MQL has a row in Airtable.

  4. 3
Gmail - email sales ops the summary
    gmail.com
WebRun in Gmail: email sales ops the summary
WebRun opens Gmail to email sales ops the summary.
    • Draft an internal summary email to the sales-ops distribution list
    • List each new MQL with its score and source program
    • Send it, the recipients are your own sales-ops team, not the leads

Done when Sales ops has today's MQL summary in their inbox.

Questions, answered

Does it email the leads themselves?

No. The Gmail summary goes to your internal sales-ops distribution list only. WebRun never emails a lead or contact directly.

What score counts as an MQL?

Whatever threshold your Marketo scoring model already uses. WebRun reads the live MQL status Marketo assigns, it doesn't set its own scoring rules.

Where can the sales team see the full list?

In the Airtable base WebRun logs every lead to, alongside the daily Gmail summary, so both a live table and an inbox copy exist.

Put this on autopilot.
