Automated Icedrive Shared Link Audits

Every Monday, WebRun opens Icedrive, lists every active shared link with the file or folder behind it, flags links carrying no password or no expiry date, writes the audit into Notion, and opens a Trello card for each link that should be reviewed or closed.

In short

How do I review which of my cloud files are still shared publicly?

WebRun audits your Icedrive shared links every Monday, listing every active link with the file behind it, whether a password is set, and whether an expiry date exists. It writes the audit into Notion, risky links first, and opens a Trello card for each link with no password or expiry.

  • Old client links get closed before someone else finds them
  • Unprotected links flagged with no password or expiry
  • A dated audit record you can show in a review

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens icedrive.net in a real browser with your saved login - no setup, no API keys.

  2. 1
Icedrive - list every shared link
    icedrive.net
WebRun in Icedrive: list every shared link
WebRun opens Icedrive to list every shared link.
    • Open Icedrive and go to your shared links
    • Capture every active link with the file or folder it points to and the date it was created
    • Record whether each link has a password set and whether it carries an expiry date
    • Flag links with no password and no expiry, and links older than the age you set

Done when Every active shared link is listed with its protection and age.

  3. 2
Notion - write the exposure audit
    notion.so
WebRun in Notion: write the exposure audit
WebRun opens Notion to write the exposure audit.
    • Open your audit page and write a dated table of every active link
    • Give each row the file or folder, created date, password set, expiry date, and age in days
    • Sort the unprotected and oldest links to the top
    • Keep previous audits on the page so changes across weeks are visible

Done when This week's link audit is written to Notion with risky links first.

  4. 3
Trello - open a card per risky link
    trello.com
WebRun in Trello: open a card per risky link
WebRun opens Trello to open a card per risky link.
    • Create a card on your review board for each link with no password or no expiry
    • Put the file name, created date, and the reason it was flagged in the card
    • Skip links that already have an open card so nothing is duplicated
    • Leave revoking the link to you. WebRun never deletes or disables a share

Done when Every unprotected link has a card waiting for a decision.

Good to know

Questions, answered

Will it revoke or delete a link?

No. WebRun lists and flags. Revoking a share, adding a password, or setting an expiry stays with you, because closing a link a client is still using would break their access without warning.

Does it move or delete any files?

No. It reads the sharing settings only. Your files and folders in Icedrive are never opened for editing, moved, renamed, or removed.

How does it decide a link is risky?

A link with no password and no expiry date is flagged, as is any link older than the age you set. Both tests run each Monday, so an old client link surfaces before someone else finds it.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
