Automated Hex Stale Project Reviews

Every Monday, WebRun opens Hex, lists the projects and published apps with no run for months, notes each one's owner and the data connections it still holds, raises a Trello card per project for an archive decision, and sends you a WhatsApp summary so dead dashboards stop querying the warehouse.

In short

How do I find analytics projects and dashboards nobody uses any more?

WebRun reviews stale Hex work every Monday. It lists projects and published apps with no run in months, records each one's owner, last run date, and live data connections, raises a Trello card per project, and sends you a WhatsApp list led by the ones still running on a schedule.

  • Scheduled projects with no viewers stop billing warehouse time
  • Every stale project arrives with its owner attached
  • Dead dashboards get archived instead of quietly persisting

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.hex.tech in a real browser with your saved login - no setup, no API keys.

  2. 1
Hex - find projects with no recent runs

WebRun opens Hex to find projects with no recent runs.
    • Sign in to Hex and open the workspace list of projects and published apps
    • Capture each one's owner, last run date, and whether it is published or still a draft
    • Flag anything with no run inside the window you set, commonly 90 days
    • Note the data connections each stale project still uses, and whether it runs on a schedule

Done when Every project and published app has a last run date and a stale or active verdict.

  3. 2
Trello - card each archive decision
    trello.com
WebRun in Trello: card each archive decision
WebRun opens Trello to card each archive decision.
    • Add a card per stale project to the analytics housekeeping board
    • Put the owner, the last run date, and the data connections it holds on the card
    • Mark projects still running on a schedule despite having no viewers, since those are the ones costing warehouse time

Done when Every stale project has a card waiting for an archive decision.

  4. 3
WhatsApp - send the stale project list
    whatsapp.com
WebRun in WhatsApp: send the stale project list
WebRun opens WhatsApp to send the stale project list.
    • Send yourself the stale projects grouped by owner so the follow-up is one conversation per person
    • Lead with the ones still on a schedule, since those keep querying the warehouse for nobody
    • Leave every archive and deletion to a human. WebRun never archives, unpublishes, or deletes a project

Done when You have this week's stale project list on WhatsApp.

Questions, answered

Will it archive or delete a project?

No. Archiving or deleting analytics work is hard to undo, so WebRun stops at the card. It gives you the owner, the last run date, and the connections, and a person makes the call in Hex.

How stale is stale?

No run for 90 days by default, and the window is yours to set. Anything inside the window never appears, so the weekly card list stays short enough to actually work through.

Why does it flag scheduled projects first?

Because a project on a schedule with no viewers keeps running warehouse queries for nobody. Those cost money every day they stay on, so they are worth deciding about before the rest.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
