Automated HealthEquity Receipt Reminders

Every Monday, WebRun signs in to HealthEquity, reads claims and card transactions whose reimbursement status is waiting on documentation, captures the date, amount, and what is missing on each, records them in Airtable with the response deadline, and writes a Notion chase list ordered by which runs out of time first.

In short

How do I keep track of health claims that still need a receipt?

WebRun signs in to HealthEquity every Monday, finds claims and card transactions still waiting on documentation, and captures the service date, amount, and exactly what is missing. It records each in Airtable with its deadline and writes a Notion chase list by days remaining, so no reimbursement is denied for paperwork.

  • Claims needing a receipt are named weeks before the deadline
  • Every claim shows the exact document it is waiting on
  • Resolved claims drop off the list on their own each Monday

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens healthequity.com in a real browser with your saved login - no setup, no API keys.

  2. 1
HealthEquity - find claims missing documentation
    healthequity.com
WebRun in HealthEquity: find claims missing documentation
WebRun opens HealthEquity to find claims missing documentation.
    • Sign in and open the claims and card transaction history
    • Keep the items whose status shows documentation is still needed
    • Capture the service date, the amount, the provider, and exactly what is missing
    • Read any response deadline shown against the claim and note the current account balance

Done when Every claim awaiting documentation is listed with its amount and deadline.

  3. 2
Airtable - record each claim and deadline
    airtable.com
WebRun in Airtable: record each claim and deadline
WebRun opens Airtable to record each claim and deadline.
    • Add or update a row per outstanding claim
    • Record service date, amount, provider, what is missing, and the deadline
    • Calculate days left and refresh it every week
    • Close a row once HealthEquity shows the claim as resolved

Done when Every open claim has a live days remaining figure in Airtable.

  4. 3
Notion - write the chase list
    notion.so
WebRun in Notion: write the chase list
WebRun opens Notion to write the chase list.
    • Write this week's chase list with the nearest deadline first
    • Say plainly what each claim needs: an itemised statement, a receipt, or an explanation of benefits
    • Total the money at risk if nothing is uploaded
    • Leave the upload to a person. WebRun never uploads a document or submits a claim

Done when The chase list names every claim, what it needs, and by when.

Questions, answered

Will it upload receipts or submit a claim for me?

No. The policy blocks file uploads outright. WebRun reads claim status and writes the chase list. Uploading a receipt, submitting a claim, or replying to the administrator is always done by a person.

How much warning do I get before a deadline?

Every claim carries a days remaining figure refreshed each Monday, and the chase list is ordered with the nearest deadline first, so the tightest one is always at the top.

What happens once a receipt is finally uploaded?

The next Monday run reads the live status in HealthEquity, sees the claim resolved, and closes its Airtable row, so the chase list only holds claims still outstanding.

Put this on autopilot.
