Automated GoTo Meeting Reminders

Every day, WebRun signs in to GoTo Meeting, reads every session scheduled for tomorrow with its attendees, time, and join link, drafts a short reminder email per meeting in Gmail for you to review and send, and queues a matching text message in Twilio so the ones that matter most get a nudge on the phone as well.

In short

How do I remind attendees about tomorrow's meetings automatically?

WebRun reads tomorrow's GoTo Meeting schedule every afternoon and captures each session's time, attendees, and join link. It drafts a reminder email per meeting in Gmail and stages a short text in Twilio for the high value ones, so you approve and send rather than chasing no-shows later.

  • Every meeting tomorrow has a reminder ready to send
  • High value meetings also get a text nudge once approved
  • Nothing reaches an attendee without a human approving it

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.goto.com/meetings in a real browser with your saved login - no setup, no API keys.

  2. 1
GoTo Meeting - read tomorrow's schedule
    gotomeeting.com
WebRun in GoTo Meeting: read tomorrow's schedule
WebRun opens GoTo Meeting to read tomorrow's schedule.
    • Sign in to GoTo and open the meetings list for tomorrow
    • Capture each meeting's title, start time, organiser, invited attendees, and join link
    • Flag meetings where nobody has accepted yet and external attendees who have not responded

Done when Every meeting scheduled for tomorrow is listed with attendees and join details.

  3. 2
Gmail - draft the reminder emails
    gmail.com
WebRun in Gmail: draft the reminder emails
WebRun opens Gmail to draft the reminder emails.
    • Draft one short reminder per meeting with the time, the time zone, the join link, and the agenda line
    • Address it to the invited attendees pulled from the meeting record
    • Leave every message as a Gmail draft. WebRun never emails an attendee on its own

Done when A reviewable reminder draft exists for every meeting tomorrow.

  4. 3
Twilio - queue the text nudges
    twilio.com
WebRun in Twilio: queue the text nudges
WebRun opens Twilio to queue the text nudges.
    • Prepare a short text for the meetings you marked as high value, with the time and the join link
    • Stage each message in Twilio for approval rather than sending it
    • Send only after you approve, because a text reaches a customer and cannot be recalled

Done when Text nudges are staged and waiting for your approval.

Questions, answered

Will it email or text attendees without me?

No. Emails are left as Gmail drafts and texts are staged in Twilio for approval. Both reach people outside your company and cannot be recalled, so a human presses send on every one.

Does it change or cancel meetings?

No. The GoTo Meeting step is read only. WebRun copies the schedule, the attendees, and the join links, and never edits, reschedules, or cancels a session.

What about a day with no meetings?

Nothing is drafted or staged. WebRun checks tomorrow's schedule, finds it empty, and ends the run without leaving clutter in your Gmail drafts folder.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
