Automated Google Keep Note Roundup

Every evening, WebRun opens Google Keep, collects the notes and checklists your team added under the labels you nominate, sorts them into jobs done, jobs outstanding, and things to order, writes the whole lot into a dated log in Google Drive, and queues a short crew text in Twilio listing tomorrow's first three jobs for a supervisor to approve.

In short

How do I turn daily team notes into a job log and a plan for tomorrow?

WebRun opens Google Keep every evening, collects the day's notes under the labels you nominate, and sorts them into jobs finished, jobs outstanding, and materials to order. It writes a dated log into Google Drive and queues a crew text in Twilio, unsent, listing tomorrow's first three jobs.

  • Every note taken on site ends up in a dated log
  • Outstanding jobs carry over instead of getting lost in Keep
  • The crew message is written for you and waits for a supervisor to approve

Built for field service teams · trades · site supervisors · small crews · operations managers

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens keep.google.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Google Keep - gather the day's labelled notes
    keep.google.com
WebRun in Google Keep: gather the day's labelled notes
WebRun opens Google Keep to gather the day's labelled notes.
    • Open Google Keep and filter to the labels you nominated, such as jobs, site notes, or to order
    • Collect every note and checklist created or edited today, with its title, text, checklist state, and who added it
    • Sort the items into three groups: finished today, still outstanding, and materials to order
    • Note any checklist where items were ticked so progress is visible in the log
    • Leave the notes in place. WebRun never deletes, archives, or edits a note

Done when Today's labelled notes are collected and sorted into finished, outstanding, and to order.

  3. 2
Google Drive - write the dated job log
    drive.google.com
WebRun in Google Drive: write the dated job log
WebRun opens Google Drive to write the dated job log.
    • Open your job log folder in Google Drive and create a document dated for today
    • Write the three sections in order: finished today, still outstanding, and materials to order
    • Carry the note author and timestamp beside each item so the log can be traced back
    • Add a one-line summary at the top with the counts in each section
    • Keep every previous day in the folder so the log builds a running record

Done when Today's dated job log is saved in Drive with all three sections filled.

  4. 3
Twilio - queue tomorrow's crew text
    twilio.com
WebRun in Twilio: queue tomorrow's crew text
WebRun opens Twilio to queue tomorrow's crew text.
    • Write a short crew text listing tomorrow's first three outstanding jobs with their sites
    • Add a line for anything that must be picked up on the way, taken from the to order list
    • Queue the message in Twilio as unsent so a supervisor approves it before the crew is texted
    • Keep customer names and addresses out of the text unless the crew needs them for the job
    • Skip the message entirely when nothing is outstanding

Done when Tomorrow's crew text is queued in Twilio waiting for approval.

Questions, answered

Will it text the crew without approval?

No. The crew message is queued in Twilio as unsent and a supervisor approves it before it goes out. Writing the log into your own Google Drive folder is the only step that happens automatically.

Does it change or delete my notes?

No. WebRun reads Google Keep and copies what it finds into the log. Notes are never edited, archived, or deleted, so the person who wrote a note still sees it exactly as they left it.

Which notes does it pick up?

Only notes carrying the labels you nominate, created or edited that day. Everything else in Keep, including personal notes, is left out of both the log and the crew message.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
