Automated Genesys Schedule Coverage Checks

Every morning, WebRun opens Genesys, reads tomorrow's published schedules against the forecast for each queue, subtracts approved time off, records every uncovered interval in Airtable, and posts Microsoft Teams the hours with nobody rostered so the gap gets filled a day ahead.

In short

How do I check tomorrow's contact centre queues are properly staffed?

WebRun opens Genesys every morning and compares tomorrow's published schedules against the forecast for each queue, interval by interval, minus approved time off. It logs every uncovered interval in Airtable and posts Microsoft Teams the hours with nobody rostered, so the planner fills the gap a day ahead.

  • Uncovered hours surface a day before they hurt wait times
  • Every gap names the queue, the window, and how many agents short
  • Recurring weekly gaps become visible over time

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens login.mypurecloud.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Genesys - compare schedules with the forecast
    genesys.com
WebRun in Genesys: compare schedules with the forecast
WebRun opens Genesys to compare schedules with the forecast.
    • Open Genesys and read tomorrow's published schedules for each queue, interval by interval
    • Read the forecast volume for the same intervals and work out the agents required
    • Subtract approved time off and any shift that has not been confirmed
    • Record every interval where scheduled agents fall short of the forecast requirement

Done when Every queue has tomorrow's scheduled agents compared with its forecast requirement, interval by interval.

  3. 2
Airtable - log every uncovered interval
    airtable.com
WebRun in Airtable: log every uncovered interval
WebRun opens Airtable to log every uncovered interval.
    • Add a row per uncovered interval with the queue, the time window, agents scheduled, and agents required
    • Mark the largest shortfalls so the worst hour of the day is obvious
    • Keep the history so recurring gaps, like every Friday afternoon, become visible over weeks

Done when Airtable holds a row for every uncovered interval tomorrow, with the size of each shortfall.

  4. 3
Microsoft Teams - post the hours nobody covers
    microsoft.com
WebRun in Microsoft Teams: post the hours nobody covers
WebRun opens Microsoft Teams to post the hours nobody covers.
    • Post tomorrow's coverage picture to your operations channel, worst gaps first
    • Give the queue, the time window, and how many agents short it is
    • Leave rostering to the planner. WebRun never changes a schedule or assigns a shift in Genesys

Done when The operations channel has tomorrow's uncovered hours listed by queue and time window.

Questions, answered

Will it change schedules or assign shifts?

No. WebRun reads the published schedule and the forecast and reports the gaps. Every roster change, shift offer, or overtime request is made by your planner.

Does it message agents about covering a shift?

No. It posts one internal summary in Microsoft Teams for the planning team. No agent is contacted, so any ask to cover an hour comes from a person.

Why check a day ahead instead of on the day?

Because a gap found today can still be filled by moving a shift or offering overtime. A gap found on the day shows up as climbing wait times instead.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
