Automated Firmex Data Room Question Chasing

Every morning, WebRun opens Firmex, reads the questions raised in your data room, finds the ones past their due date with no answer posted, logs each against its assignee in Airtable, and drafts a Gmail chaser you approve before it goes to the expert who owes the answer.

In short

How do I chase unanswered data room questions during diligence?

Every morning WebRun opens Firmex, reads the questions raised in your data room, and finds the ones past their due date with no answer posted. It logs each one against its assignee in Airtable and drafts a Gmail chaser for you to approve, so buyers are not left waiting during diligence.

  • Every overdue question has a named owner and a day count
  • Chasers are written each morning, so following up takes one click
  • Answered questions close themselves on the next run

Built for deal leads · M&A advisors · corporate development teams · legal and finance teams

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.firmex.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Firmex - find questions past their due date
    firmex.com
WebRun in Firmex: find questions past their due date
WebRun opens Firmex to find questions past their due date.
    • Open Firmex and go to the questions raised in the active data room
    • Capture every question with no answer posted, along with its assignee and its due date
    • Mark which of those are already past the deadline and by how many days
    • Note the subject area of each question so related ones can be chased together

Done when Every unanswered question is listed with its assignee and days overdue.

  3. 2
Airtable - log each one against its assignee
    airtable.com
WebRun in Airtable: log each one against its assignee
WebRun opens Airtable to log each one against its assignee.
    • Add or update a row per open question with the assignee, subject area, due date, and days overdue
    • Mark questions answered since the last run as closed
    • Group the open rows by assignee so one expert sees their whole backlog

Done when Airtable shows the open question backlog grouped by the person who owes the answer.

  4. 3
Gmail - draft the chaser for approval
    gmail.com
WebRun in Gmail: draft the chaser for approval
WebRun opens Gmail to draft the chaser for approval.
    • Compose one short chaser per assignee listing their overdue questions and the days each has been waiting
    • Keep the tone factual and name the data room and the deadline
    • Leave every chaser in Drafts. WebRun never emails an expert or a buyer on its own

Done when A chaser draft is waiting in Gmail for each assignee with overdue questions.

Good to know

Questions, answered

Will it email the buyer or the expert without me?

No. Every chaser is left unsent in Gmail drafts. WebRun writes the message, you read it, and you decide whether it goes out during a live deal.

Does it post answers into the data room?

No. WebRun only reads the question and answer status in Firmex. Posting an answer, closing a question, or changing a due date stays with the deal team.

What happens when a question is answered?

It closes on the next run. WebRun reads live status each morning, so answered questions drop off the chase list and out of the drafted email.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
