Automated Fillout Submission Routing

Every hour, WebRun opens Fillout, reads the submissions received since the last check, works out which team each belongs to from the answers, posts a summary to the right Slack channel with a suggested priority, and drafts a personalised Gmail reply that stays unsent until a human approves it.

In short

How do I route and reply to form submissions quickly?

WebRun triages your Fillout submissions every hour. It reads new responses, decides which team owns each from the answers, posts it to the right Slack channel with a suggested priority and a named owner, and drafts a personalised Gmail reply that a human approves before sending.

  • Every submission reaches a named owner within the hour
  • Replies are ready to send instead of written from scratch
  • Nothing is emailed to a submitter without a human approving it

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens fillout.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Fillout - read new submissions
    fillout.com
WebRun in Fillout: read new submissions
WebRun opens Fillout to read new submissions.
    • Sign in to Fillout and open each live form's responses
    • Read the submissions received since the last run
    • Capture the submitter name, email, the key answers, and the submission time
    • Work out the owning team from the answers, for example sales, support, or recruiting

Done when Every new submission is captured with its answers and its owning team.

  3. 2
Slack - route to the right channel
    slack.com
WebRun in Slack: route to the right channel
WebRun opens Slack to route to the right channel.
    • Post each submission to the channel that owns it
    • Show the submitter, the form, the key answers, and the time received
    • Add a suggested priority based on the rules you set, such as budget, urgency, or company size
    • Mention the on-duty owner so somebody is clearly holding it

Done when Every new submission sits in its owning Slack channel with a named owner.

  4. 3
Gmail - draft the reply for approval
    gmail.com
WebRun in Gmail: draft the reply for approval
WebRun opens Gmail to draft the reply for approval.
    • Draft a reply to each submitter that answers what they actually asked
    • Pull their name and their answers into the message so it does not read as a form letter
    • Leave every draft unsent in Gmail Drafts for a human to review and send
    • Note in Slack that a draft is waiting so it is not missed

Done when Each submission has a personalised reply drafted and awaiting approval.

Good to know

Questions, answered

Will it email the person who filled in the form?

Not on its own. Every reply is left unsent in Gmail Drafts. A human reads it, adjusts anything they want, and presses send, so no submitter ever receives an unreviewed message.

Does it change or delete submissions in Fillout?

No. Responses are read only. WebRun never edits an answer, marks a submission complete, or removes anything, so your form data stays exactly as it arrived.

How does it decide the priority?

From the routing rules you set on specific answers, such as budget band, requested date, or company size. Anything that does not match a rule is posted as standard priority for a human to judge.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
