Automated Doodle Poll Result Tracking

Every morning, WebRun opens Doodle, finds the polls where everyone invited has now responded, works out the slot with the most availability, logs the poll with its winning time and turnout in Airtable, and writes a short booking summary in Notion for a human to confirm.

In short

How do I find the winning time slot once a poll is complete?

WebRun opens Doodle every morning and finds the polls where every invited participant has responded. It works out the slot with the most availability, logs the poll, winning time, and turnout in Airtable, and writes a Notion summary naming who can and cannot attend, ready for a human to book.

  • Completed polls are decided the next morning, not days later
  • Every poll leaves a record of turnout and time to fill
  • Nobody is invited or booked until a person confirms

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens doodle.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Doodle - find polls everyone has answered
    doodle.com
WebRun in Doodle: find polls everyone has answered
WebRun opens Doodle to find polls everyone has answered.
    • Open Doodle and list your active polls
    • Keep the polls where every invited participant has now responded
    • Read the responses and identify the slot with the highest availability, noting any tie
    • Record the participants who cannot make the leading slot, since that decides whether it works

Done when Every fully answered poll has a leading slot and the list of who cannot attend it.

  3. 2
Airtable - log the winning slot and turnout
    airtable.com
WebRun in Airtable: log the winning slot and turnout
WebRun opens Airtable to log the winning slot and turnout.
    • Open the scheduling base in Airtable
    • Add a row per completed poll with the title, the winning slot, the turnout, and the days it took to fill
    • Mark ties clearly so a human breaks them rather than a coin toss
    • Set the status to Ready to book and leave the confirmed column empty

Done when Every completed poll has a row with its winning slot and status Ready to book.

  4. 3
Notion - write the booking summary
    notion.so
WebRun in Notion: write the booking summary
WebRun opens Notion to write the booking summary.
    • Open the scheduling page in Notion and add today's entry
    • List each completed poll with its winning slot, the attendees, and anyone who cannot make it
    • Flag polls where the best slot still leaves a key person out
    • Never close a poll, send an invitation, or book a calendar event. Confirming stays a human step

Done when Today's booking summary is on the Notion page awaiting confirmation.

Good to know

Questions, answered

Will it book the meeting or email participants?

No. WebRun reads the poll and reports the winning slot. It never closes a poll, sends an invitation, emails a participant, or creates a calendar event, so the final booking is always confirmed by a person.

What happens when two slots tie?

The tie is logged as a tie, with both slots and who is available for each. WebRun does not pick, because the tiebreak usually depends on who matters most in the room, and that is a judgement call.

What about polls people have not finished answering?

They are left alone and checked again the next morning. Only polls where every invited participant has responded are logged, so you never book on a partial picture.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
