Automated Digits Transaction Review Queue

Every Monday, WebRun opens Digits, gathers every transaction still flagged for review, groups them by vendor with the category each one is waiting on and the amount at stake, sends you the queue on WhatsApp, and drafts a Gmail note to your bookkeeper about the items only they can answer.

In short

How do I clear the transactions waiting for review in my books?

WebRun clears your Digits review queue every Monday. It gathers every transaction still flagged for review, groups them by vendor with the suggested category, amount and age, sends you the ranked queue on WhatsApp, and drafts a Gmail note to your bookkeeper covering the items only they can settle.

  • The week's flagged items are cleared in one sitting
  • Month end close is not a scramble through months of backlog
  • Repeat vendor charges get decided once instead of one by one

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens digits.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Digits - gather the flagged transactions
    digits.com
WebRun in Digits: gather the flagged transactions
WebRun opens Digits to gather the flagged transactions.
    • Open Digits and go to the transactions still flagged for review
    • Record each one's date, amount, vendor and the category Digits has suggested
    • Group the queue by vendor so repeat charges from the same supplier are decided once
    • Sort vendors by total amount so the largest decisions come first
    • Note how far back the oldest unreviewed item goes

Done when Every transaction awaiting review is captured with its vendor, amount and suggested category.

  3. 2
WhatsApp - send you the grouped queue

WebRun opens WhatsApp to send you the grouped queue.
    • Send yourself the week's review queue grouped by vendor
    • Lead with the count of items outstanding and the total value
    • For each vendor give the number of transactions, the total, and the category Digits suggests
    • Flag anything older than a month, and any vendor that has never been categorised before

Done when You have this week's review queue on WhatsApp, grouped by vendor and ranked by value.

  4. 3
Gmail - draft the note to your bookkeeper
    gmail.com
WebRun in Gmail: draft the note to your bookkeeper
WebRun opens Gmail to draft the note to your bookkeeper.
    • Draft an email to your bookkeeper listing the items that need their input rather than yours
    • Include the vendor, date, amount and the question that needs answering for each
    • Attach nothing and quote no bank details in the body
    • Leave the email as an unsent draft for you to review and send. WebRun never emails on its own

Done when A draft to your bookkeeper is waiting in Gmail with the items only they can settle.

Good to know

Questions, answered

Will it categorise or approve transactions for me?

No. WebRun only reads the review queue and reports what is waiting. Accepting a suggested category, splitting a transaction or marking anything reviewed stays with you or your bookkeeper, so the ledger is only ever changed by a human.

Does it email my bookkeeper without approval?

No. The Gmail message is left as an unsent draft for you to read and send. Only the WhatsApp queue to yourself posts on its own, so nothing leaves your account until you have looked at it.

Why group the queue by vendor?

Because repeat charges from the same supplier usually take the same category, so deciding once per vendor clears far more items per sitting than working down a date ordered list of individual transactions.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
