Automated Dayforce Shift Coverage Check

Every Monday, WebRun opens next week's Dayforce schedule, finds every shift with nobody assigned, pulls the shift bids still waiting on a decision, posts both lists to your scheduling channel in Slack, and queues an SMS to the standby employees you keep on file.

In short

How do I find next week's unfilled shifts before the schedule goes out?

Every Monday, WebRun opens next week's Dayforce schedule, finds the shifts with nobody assigned, and pulls the shift bids still waiting on a decision. It posts both to your scheduling channel in Slack and queues a Twilio message to your standby list, so next week is staffed before the schedule is posted.

  • Next week is staffed before employees ever see the posted schedule
  • Shifts with a bid already waiting are closed with one approval
  • Standby texts wait for a manager to release rather than going out unattended

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens dayforce.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Dayforce - find next week's unfilled shifts
    dayforce.com
WebRun in Dayforce: find next week's unfilled shifts
WebRun opens Dayforce to find next week's unfilled shifts.
    • Sign in to Dayforce and open the schedule for next week, location by location
    • List every shift with nobody assigned, with its date, time, role, and location
    • Pull the shift bids waiting on a manager decision and match each to the shift it covers
    • Work out the coverage percentage per day and per location, and mark the worst days
    • Read only. WebRun never assigns a shift, approves a bid, or posts the schedule

Done when Every unfilled shift next week is listed with its role and location, alongside the bids waiting on it.

  3. 2
Slack - post the gaps and pending bids
    slack.com
WebRun in Slack: post the gaps and pending bids
WebRun opens Slack to post the gaps and pending bids.
    • Post to your scheduling channel with the unfilled shifts and the pending bids side by side
    • Lead with any shift that already has a bid waiting, since those close with one approval
    • Show coverage per day so the thinnest day is obvious at a glance
    • Keep it internal to managers. Employees are not messaged from this channel

Done when The scheduling channel has next week's gaps, the waiting bids, and the coverage per day.

  4. 3
Twilio - queue an SMS to the standby list
    twilio.com
WebRun in Twilio: queue an SMS to the standby list
WebRun opens Twilio to queue an SMS to the standby list.
    • Compose an SMS for the standby employees on your list, naming the open shifts, dates, and location
    • Address it only to the work numbers you have kept for that purpose
    • Leave the message queued for a manager to release. WebRun never texts an employee on its own
    • Skip the SMS entirely in a week where every shift is already covered

Done when An SMS is queued and waiting for a manager to release to the standby list.

Questions, answered

Will it assign shifts or approve bids?

No. WebRun reads the schedule and reports the gaps. Assigning a shift, approving a bid, and posting the schedule all stay with the scheduling manager inside Dayforce.

Will it text employees automatically?

No. The Twilio message to the standby list is queued and waits for a manager to release it, and it only ever goes to the work numbers you keep for that purpose.

Which shifts does it show first?

The ones that already have a bid waiting, because a single approval closes them. After those come the unfilled shifts on the thinnest coverage days.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
