Automated Astra DB Database Inventory

Every Monday, WebRun opens the Astra console, lists every database with its region, status, and keyspaces, notes which application tokens still point at it, updates the inventory document in Google Drive, and sends you a WhatsApp summary naming the databases nobody appears to be using.

In short

How do I keep an inventory of my cloud databases and find idle ones?

WebRun opens the DataStax Astra console every Monday and lists every database with its region, status, keyspaces, and tokens. It keeps the inventory document current in Google Drive and sends a WhatsApp summary naming the idle ones, so forgotten databases get shut down instead of quietly billing.

  • One current list of every database, updated weekly
  • Idle databases are named before the next invoice
  • The inventory document is never out of date by more than a week

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens astra.datastax.com in a real browser with your saved login - no setup, no API keys.

  2. 1
DataStax Astra DB - list every database and its status
    datastax.com
WebRun in DataStax Astra DB: list every database and its status
WebRun opens DataStax Astra DB to list every database and its status.
    • Open the Astra console and list every database on the account
    • Capture the name, the region, the current status, and the keyspaces in each one
    • Note the application tokens that exist and which database each is scoped to
    • Flag databases that have been hibernated or show no recent activity
    • Read only. WebRun never terminates a database or revokes a token

Done when Every database is listed with its region, status, and keyspaces.

  3. 2
Google Drive - keep the inventory current
    drive.google.com
WebRun in Google Drive: keep the inventory current
WebRun opens Google Drive to keep the inventory current.
    • Open your platform inventory document in Google Drive
    • Update one row per database with its region, status, keyspaces, and token count
    • Mark rows for databases that no longer exist as removed rather than deleting the history
    • Add a dated heading so the document shows when the inventory was last true

Done when The inventory document matches what is actually in the Astra account today.

  4. 3
WhatsApp - name the idle databases
    whatsapp.com
WebRun in WhatsApp: name the idle databases
WebRun opens WhatsApp to name the idle databases.
    • Send yourself a short summary: how many databases exist and how many look idle
    • Name the hibernated or inactive ones with their region and keyspace count
    • Call out any database with no application token pointing at it
    • Leave shutting anything down to a human. WebRun only recommends

Done when You have this week's inventory summary in WhatsApp with the idle databases named.

Questions, answered

Will it delete or terminate a database?

No. WebRun reads the console and reports what looks idle. Terminating a database, dropping a keyspace, and revoking a token are all manual steps, so nothing your team still depends on can disappear.

Does it read the data inside the databases?

No. WebRun works from the console listing only: names, regions, status, keyspaces, and tokens. It never queries a table or reads a row of your data.

How does it decide something is idle?

It flags databases the console shows as hibernated or inactive and any database with no application token scoped to it, then leaves the judgement to you rather than acting on it.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
