Automated Cvent Post-Event Survey Chase

Every morning, WebRun opens Cvent, reads the post-event survey for each event that finished recently, works out the response rate, lists the attendees who have not answered yet, drafts a short reminder to each in Gmail for you to approve, and sends the running rate to Telegram.

In short

How do I chase post-event survey responses without emailing everyone twice?

Every morning WebRun opens Cvent, checks the post-event survey for each recent event, works out the response rate, and lists the attendees who have not answered. It drafts a short reminder to each in Gmail for you to approve, and sends the running response rate to Telegram.

  • Response rates rise while the event is still fresh in mind
  • Reminders name the sessions each attendee actually joined
  • The debrief rests on real feedback, not a handful of replies

Built for event managers · conference organisers · marketing teams · association staff

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.cvent.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Cvent - check who has not answered
    cvent.com
WebRun in Cvent: check who has not answered
WebRun opens Cvent to check who has not answered.
    • Open Cvent and list the events that finished inside your feedback window
    • Open the post-event survey for each and read how many responses have come back
    • Match responses against the attendee list to find who has not answered
    • Note which sessions each non-responder actually attended so the reminder can name them

Done when Every recent event has a response rate and a named list of attendees still to answer.

  3. 2
Gmail - draft the reminder to each
    gmail.com
WebRun in Gmail: draft the reminder to each
WebRun opens Gmail to draft the reminder to each.
    • Draft a short, warm reminder in Gmail for each attendee who has not responded
    • Reference the event and the sessions they attended so it does not read as a blast
    • Include the survey link and keep the ask to a single question of their time
    • Leave every message in Drafts. Nothing is sent until you review and press send

Done when A personalised reminder sits in Gmail Drafts for every non-responder.

  4. 3
Telegram - report the response rate
    telegram.org
WebRun in Telegram: report the response rate
WebRun opens Telegram to report the response rate.
    • Send a Telegram message with the response rate per event and how it moved overnight
    • Say how many reminders are waiting in Drafts for approval
    • Flag any event whose rate is still below the threshold you set for a usable debrief

Done when The event manager knows the response rate and what is waiting to be sent.

Good to know

Questions, answered

Will it email attendees without my approval?

No. Every reminder is left in Gmail Drafts. You read them and press send, so no attendee ever receives a message WebRun sent on its own.

How does it avoid chasing people who already replied?

It reads the live response list in Cvent on every run and matches it against attendees, so anyone who answered overnight is dropped from today's drafts.

How many times will one attendee be chased?

You set the limit, commonly two reminders across the feedback window. WebRun tracks who has already been drafted a reminder and stops at your cap.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
