Automated Center Card Spend Policy Alerts

Every morning, WebRun opens the Center admin dashboard, checks every card transaction for a missing receipt or a policy exception, schedules a Google Calendar review for the finance team when something is flagged, and posts the flagged spend to Microsoft Teams.

In short

How do I catch out-of-policy Center card spend daily?

WebRun checks every Center card transaction each morning, flags anything missing a receipt or outside its spend policy, and posts the list with cardholder and amount to Microsoft Teams. It also schedules a Google Calendar review for the finance team whenever something is flagged, so out-of-policy spend gets a timely look instead of surfacing at month-end close.

  • Out-of-policy spend is flagged the same morning it happens
  • Repeat offenders are called out instead of hidden in a long list
  • Month-end close starts with a clean, already-reviewed spend log

Questions, answered

What counts as out of policy?

A transaction missing a receipt, or one that falls outside the spend limit or category set for that cardholder in Center. Both get flagged the same way.

Will WebRun freeze a card or reverse a charge?

No. WebRun only reads transactions and policy status and reports on them. It never freezes a card, reverses a charge, or moves money. Any card action is left for an admin to take in Center.

What if the same cardholder keeps getting flagged?

The Teams report calls out cardholders with repeat flags that month, so a pattern gets noticed instead of each incident being reviewed in isolation.

Put this on autopilot.
