Automated Camp Registration Follow-Up

Every morning, WebRun opens CampMinder, finds registrations that were started but not submitted, drafts a friendly follow-up email to each family, and posts a summary to Slack so your team can review and send before the day starts.

In short

How do I automatically follow up on incomplete camp registrations?

WebRun opens CampMinder every morning, finds registrations started but not completed, and drafts a personal follow-up email in Gmail for each family. It then posts your team a Slack summary of who needs chasing, so staff can review drafts and send them before the day begins. No email goes out without approval.

  • Incomplete registrations are followed up within 24 hours, not forgotten
  • Staff review pre-drafted emails rather than writing each one from scratch
  • Families already contacted are skipped automatically to prevent over-messaging

Built for summer camp directors · camp registrars · youth program administrators

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.campminder.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    CampMinder - find incomplete registrations
    campminder.com
WebRun in CampMinder: find incomplete registrations
WebRun opens CampMinder to find incomplete registrations.
    • Open CampMinder and navigate to Registration, then filter for applications with status Incomplete or In Progress
    • Capture the family name, camper name, session, and the date the application was last touched
    • Skip any family already contacted in the past five days to avoid over-messaging

Done when Every incomplete registration older than 24 hours is listed with family details and session.

  3. 2
Gmail - draft follow-up emails for review

    • Draft a warm, on-brand follow-up email for each family addressing them by name and naming the session
    • Include a direct link back to their CampMinder application so they can finish in one click
    • Save every email as a Gmail draft for your team to review. Do not send any email automatically

Done when A reviewed draft email exists in Gmail for every incomplete registration.

  4. 3
Slack - post daily chase summary
    slack.com
WebRun in Slack: post daily chase summary
WebRun opens Slack to post daily chase summary.
    • Post a short digest to your camp Slack channel listing each family, the session, and days since they started
    • Note which Gmail drafts are ready to send so staff can action them immediately

Done when Your team has today's incomplete-registration list and knows which drafts are waiting.

Good to know

Questions, answered

Will it email families automatically?

No. WebRun saves every follow-up as a Gmail draft and lists them in Slack for your team to review. No email goes out until a staff member approves and sends it.

How does it avoid pestering the same family twice?

It tracks the last contact date and skips any family already emailed within the past five days, so each family receives at most one nudge per week.

What if a family completed their registration overnight?

WebRun reads the live status in CampMinder each morning, so anyone who finished their application is automatically excluded from that day's chase list.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
