In short

How do I keep a searchable archive of my business phone calls?

Every night WebRun signs into Callcentric, copies the day's call records with the number, extension, direction, and duration, and appends them to a searchable Airtable base. It then drafts a Gmail summary of the day's call volume, so anyone can answer who called whom without opening the portal.

  • Call history is searchable without portal access
  • Every night's records land in one place
  • Re-runs never duplicate a call row

Built for office managers · small business owners · support teams · IT admins

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens callcentric.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Callcentric - read the day's call records
    callcentric.com
WebRun in Callcentric: read the day's call records
WebRun opens Callcentric to read the day's call records.
    • Sign into your Callcentric account and open the call records for today
    • Capture the phone number, extension, direction, start time, and duration on each call
    • Note any calls that ended in voicemail rather than a conversation

Done when Every call from today has been read with its number, extension, and duration.

  3. 2
Airtable - append them to the archive
    airtable.com
WebRun in Airtable: append them to the archive
WebRun opens Airtable to append them to the archive.
    • Append one row per call to your call archive base in Airtable
    • Fill the number, extension, direction, duration, and whether it hit voicemail
    • Skip any call already in the base, so re-runs never duplicate a row

Done when Today's calls are in Airtable with no duplicates.

  4. 3
Gmail - draft the nightly summary
    gmail.com
WebRun in Gmail: draft the nightly summary
WebRun opens Gmail to draft the nightly summary.
    • Compose a short nightly summary: total calls, total talk time, and how many went to voicemail
    • Link the Airtable archive for anyone who needs the detail
    • Leave it in your drafts for review. WebRun does not send the summary on its own

Done when Tonight's summary is sitting in Gmail drafts, ready to review.

Questions, answered

Will it send the summary email itself?

No. The nightly summary is left as a Gmail draft for you to read and send. WebRun writes it and stops there, so nothing leaves your account unreviewed.

Does it change anything in my phone account?

No. WebRun only reads call records. It never places a call, changes a setting, deletes a record, or touches billing in Callcentric.

What happens if a night is missed?

The next run picks up the gap. It checks the archive before writing, so missed days get filled in and repeated days are never duplicated.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
