In short

How do I check I have enough open booking slots next week?

WebRun opens Cal.com every Monday, reads your availability schedules and the bookings already taken for the coming week, and works out how much bookable time is genuinely left each day. It cards the effectively full days in Trello and files a coverage report in Google Drive, so availability is opened before prospects hit a wall.

  • Full days are found before a prospect finds them
  • Open bookable time is visible per person and per event type
  • A weekly file builds a record of how bookable you really are

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.cal.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Cal.com - read availability and bookings
    cal.com
WebRun in Cal.com: read availability and bookings
WebRun opens Cal.com to read availability and bookings.
    • Open Cal.com and read the availability schedule attached to each active event type
    • Read the bookings already on the calendar for the next seven days
    • Work out the open bookable minutes left per day, per event type, and per team member
    • Note the time zone each schedule runs in so cross-region gaps are visible

Done when Every day next week has a count of open bookable time by event type.

  3. 2
Trello - card the days with no room
    trello.com
WebRun in Trello: card the days with no room
WebRun opens Trello to card the days with no room.
    • Open a card for every day next week with less open time than your minimum
    • Name the event types that have no bookable slot left on that day
    • Add a card for any day nobody can book at all so it can be opened up
    • Close cards for days that freed up since the last run. WebRun never changes an availability schedule itself

Done when Every effectively full day next week has a card with the event types affected.

  4. 3
Google Drive - file the coverage report
    drive.google.com
WebRun in Google Drive: file the coverage report
WebRun opens Google Drive to file the coverage report.
    • Save the week's coverage report to your scheduling folder in Google Drive
    • Show open minutes per day, per event type, and per team member
    • Keep one file per week so coverage over time can be compared
    • Name the file with the week starting date so it sorts cleanly

Done when The coverage report for the coming week is filed in Drive.

Questions, answered

Will it change my availability for me?

No. WebRun reads your Cal.com schedules and reports where next week is full. Opening up hours or editing an availability schedule stays a decision you make yourself.

Does it cancel or move bookings?

No. Existing bookings are read only, so nothing is rescheduled, cancelled, or declined. The workflow only counts the time those bookings leave open and tells you about it.

How does it handle team members in different time zones?

It records the time zone each availability schedule runs in and reports open time per member, so a day that looks covered globally but is empty in one region shows up as a gap.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
