Automated Boarding Waitlist Fill

Every few minutes, WebRun checks Gingr for newly cancelled reservations that free up a kennel run. When a cancellation is found, it identifies the next eligible waitlisted guest, drafts an SMS offer via Twilio, and posts the draft to Slack for staff to approve before the text is sent.

In short

How do I automatically fill dog boarding cancellations from a waitlist?

Every 10 minutes, WebRun monitors Gingr for boarding cancellations that free a kennel run. When one appears, it finds the next eligible waitlisted guest, drafts a personalized SMS offer via Twilio, and posts it to Slack for staff to review and approve before the text is sent to the owner.

  • Cancelled kennel runs are offered to the waitlist within minutes, not hours
  • Staff review and approve every offer before the owner is contacted
  • Waitlist matching is based on date eligibility, not just queue order

Built for dog boarding facilities · kennels · pet resort managers · doggy daycare operators

Questions, answered

Will it text the waitlisted owner automatically when a spot opens?

No. WebRun drafts the SMS offer and posts it to Slack for your team to review first. The text is only sent after a staff member confirms the spot is still available and approves the message.

How does it choose who on the waitlist to contact first?

WebRun selects the next eligible person based on waitlist order in Gingr and checks that their requested dates match the freed run. If the first person is not a match, it looks at the next in line.

What if the waitlisted owner does not respond in time?

If the owner does not confirm within your set window, your team can approve an offer to the next person on the waitlist. WebRun will draft a new offer when prompted by staff.
